Administrative and Development Assistant

NYC-Based Non-Profit Organization Funding Biomedical Research

The American Federation for Aging Research (AFAR), www.afar.org, is a leading, national non-profit organization whose mission is to support and advance healthy aging through biomedical research. Since 1981, AFAR has advanced basic research and breakthroughs in the science of healthy aging by awarding more than $200 million in support to talented MDs, PhDs, and students across the country. What AFAR supported scientists are learning today about the processes of aging will help us all live healthier, longer lives tomorrow—less susceptible to disease and disability.

AFAR is seeking an Administrative and Development Assistant with a minimum of 5 years’ experience at a non-profit organization. This individual will be responsible for the management of office operations, and provision of support for the Board of Directors, Executive Director and Director of Development.They will work closely with the Executive Director and the Senior Management team. The ideal candidate will have a positive attitude, be personable, resourceful and creative to work both independently and as a member of the AFAR team.

Responsibilities

The Administrative and Development Assistant’s responsibilities will include:

Office Management

  • Management of office operations
  • Processing and approval of invoices for payment
  • Primary liaison with vendors and building staff
  • Maintenance of office and IT equipment
  • Procurement of office supplies

Board of Directors – Administrative Support

  • Board of Directors meetings
  • Board Committee meetings
  • Board communications and materials

Development – Administrative Support

  • Gift processing and acknowledgement
  • Maintenance of annual supporters and gifts reports
    • Assist in all phases related to fundraising events,
    • Conduct of prospect research;
    • Assist with letters of inquiry, donor stewardship reports and grant renewal applications;

Executive Director – Administrative Support

  • Calendar and scheduling
  • Correspondence
  • Special projects and reports

Qualifications

  • Bachelor’s degree required.
  • Minimum requirement of 5 years administrative and/or development support experience at a not-for-profit organization.
  • Excellent writing and verbal communication skills required.
  • Knowledge of Donor Perfect, Microsoft Office and commonly used office software programs
  • Familiarity with general office equipment
  • Excellent organizational and problem-solving skills
