Job Description
The Professional Apprentice Program is a training ground to provide learning and teaching opportunities for Apprentices during their time at the School. The Program recruits a talented group of people to take part in an intensive, hands-on experience, participating in a variety of roles from daily administrative activities to production operations. Apprentices will participate in workshops, discussions and/or other opportunities that will support, develop, and expand on the skills to help them succeed within the workplace and their chosen career paths.

This is a full-time position. The apprentice assists with various aspects of the day-to-day operations of the Music Advancement Program. The apprentice has exposure to key elements of performance and academic activities, including ensemble management, admissions, juries, and concert production, and provides general office support. This position works with students ages 8-18. Duties in the Pre-College may be assigned as needed.
Salary: $16-$17.75 per hour or a contract of $24,320 - $29,820 annual (dependent on agreed contract dates)

Role Responsibilities:
Performance Activities
- Large ensemble personnel management
- Communicate with conductors, operations team, librarians, facilities personnel, and ensemble members to coordinate rehearsal plans, room set-ups, music needs, assignment, schedules, venues, etc.
- Create room set-up memo and diagrams and oversee work-study operations staff
- Distribute and collect folders in rehearsals
- Direct rehearsal start, break, and end times
- Share announcements with ensemble members
- Record and report attendance
- Recruit and engage additional personnel (“ringers”) as needed
- Placement Auditions
- Work with orchestra library, MAP staff, and conductors to compile audition material
- Communicate audition requirements to students
- Schedules audition times and proctor auditions
- Manage work study students (placement audition monitors)
- Organize recordings and send to audition panelists for review
- Ensemble Library
- Assist orchestra librarians and MAP staff with the professional level preparation of orchestral music
- Provide library services at select readings, rehearsals, and performances, at the direction of orchestra librarians and MAP staff
- Maintain MAP’s digital and physical ensemble libraries
- Concert Production
- Serve as liaison between MAP administration, Production, and Recording for large ensemble concerts
- Coordinate concert logistics such as food and transportation
- Prepare event timeline, event memo, and stage set-up diagrams
- Collect headshots and bios from guests and conductors
- In collaboration with MAP administrators, coordinate with Public Affairs to create performance programs
- Ensure that concert recordings are archived and made available to students and conductors
- Course Content & Grading
- Under the direction of conductors and MAP staff, maintain course content for ensemble classes on Canvas learning management system
- In conjunction with Administrative Director and Music Director, track any issues or infractions affecting a student’s orchestra grade
Admissions and Academic Affairs Activities
- Auditions & Juries
- Assist in planning and execution of auditions, admissions, and juries
- Hire work study students and accompanists for auditions and juries
- Handle internal and external calls and visitors
- Attendance
- Track student absences by monitoring student absence forms and faculty attendance submissions
- Communicate attendance issues to students, parents, faculty, and administrators
- Student Records
- Assist Administrative Manager with collection and tracking of required student forms, etc.
- Communication
- Manage follow-up communication with and reminders to MAP community regarding submission deadlines and other important dates
- Enter guests and subs into visitor registration system
- Create and post content on MAP’s Facebook page
- Maintain and update information for students and families on MyJuilliard
General Office Support Activities
- Oversee the hiring and scheduling of work-study office assistants
- In coordination with the Preparatory Division’s Administrative Manager, coordinate office supply needs for MAP
- Submit copy requests
- Maintain and organize digital student records
- Provide general support for the program as directed by MAP administrators and the Dean and Director of the Preparatory Division
Minimum Requirements:
- All apprentices will need basic knowledge of the craft they intend to pursue. As such, we are asking for any of the following training: Bachelor’s Degree towards related field; Related professional experience or transferable skills; A combination of educational, professional experience, or transferable skills.
- Background in music performance, education, or artistic administration
- Knowledge of orchestral repertoire
- Ability to work a Tuesday through Saturday schedule
- Excellent written and verbal communication, organizational skills
- Strong computer skills including Microsoft Word, Excel, Outlook

- Administrative and ensemble management experience
