Job Description

The International Campaign for Tibet (ICT), a non-partisan, public interest group dedicated to promoting human rights and democratic freedoms for the people of Tibet, is seeking an organized, mission-driven Administrative Assistant & Office Manager to support daily operations and serve as a public-facing representative for visitors to the ICT office and a variety of stakeholders who regularly contact ICT via email and phone.

This role is critical to ensuring a welcoming, professional, and organized environment for our supporters, visitors, and staff. This position is part-time (20 hours a week) with the potential to convert to full-time. The position will be in person at ICT’s Dupont Circle location. Hours are flexible but must be scheduled within ICT’s core office hours of 9:30 a.m. – 4:00 p.m.

ICT is a non-profit advocacy organization with offices in Washington D.C., Amsterdam, Berlin, and Brussels. ICT is committed to supporting the Tibetan peoples’ cultural, political and social rights and freedoms and their efforts to preserve Tibet’s unique culture, language, and identity. ICT undertakes initiatives and mobilizes its members to increase international support for Tibetans and their peaceful struggle, advocate for human rights and freedoms in Tibet, support Tibetan refugees, and work to promote a negotiated solution for Tibet.

The ideal candidate brings exceptional communication and organizational skills, strong attention to detail, and a genuine commitment to advancing ICT’s mission. This position plays a vital role in administrative operations, office management, and supporting the Development Department’s fundraising and stewardship efforts.

Responsibilities

Front Office & Public Engagement

  • Serve as the first point of contact for supporters and community visitors.
  • Answer the main phone line and respond promptly to inquiries via phone and email with professionalism and a high degree of customer service skills.

Administrative & Office Management

  • Sort, distribute, and manage all incoming mail and deliveries
  • Prepare and send outgoing mail
  • Maintain office supply inventory and coordinate the purchasing of supplies and materials
  • Order catering as needed for ICT events held at the ICT office or at external venues
  • Ensure the office environment is well-organized, welcoming, and aligned with ICT’s standards of hospitality

Development Department Support

  • Provide administrative support to the Development Department
  • Assist with donor stewardship tasks, including accurate data entry into ICT’s constituent record management system, Raiser’s Edge, and online platform, Engaging Networks
  • Process and fulfill donor acknowledgment letters through Raiser’s Edge and Microsoft Word mail merge
  • Support mailings, special projects, events, campaigns, and fundraising initiatives
  • Ensure accuracy, confidentiality, and integrity of all donor information

Qualifications

  • Experience in administrative support, office management, or nonprofit operations.
  • Demonstrated customer service and interpersonal skills
  • Ability to execute tasks requiring focus and a high level of attention to detail to maintain data integrity
  • Strong written and verbal communication skills, with attention to clarity and tone
  • Ability to build positive relationships with supporters and staff
  • Highly organized and capable of managing multiple tasks in a mission-driven environment
  • Proficiency with Microsoft Office Suite; experience with Raiser’s Edge preferred
  • Commitment to confidentiality and responsible stewardship of donor information
  • Ability to work both independently and collaboratively as part of a dedicated team
  • An understanding of how strong administrative systems support mission impact
