Position Title: Administrative Assistant, Research Management
Reports to: Director, Grant Administration
Position Overview:
The Cure Alzheimer’s Fund is seeking an Administrative Assistant (AA) to join our team working to drive science that ultimately leads to an end to Alzheimer’s disease. The AA will report to the Director of Grant Administration and, as part of the Research Team, work closely with the EVP of Research Management. The AA will provide essential administrative and operational support for Cure Alzheimer’s Fund’s research and grant programs.
Responsibilities include project management of meetings and events, scheduling and calendaring, processing reimbursements, and drafting communications. The AA will also help manage the full life cycle of research projects and grants, support and improve operations, ensure the integrity of the grants management database, and respond to information requests from internal staff as well as the foundations’ various stakeholders, scientists, and members of the broader community.
RESPONSIBILITIES
- Serve as a primary point of contact for routine inquiries from grant seekers and grantees.
- Draft and process grant-related correspondence (e.g., award letters, report reminders, letters for NCEs, rollovers, budget reallocation).
- Establish, maintain, and document procedures to improve workflow, efficiency, and data accuracy.
- Support EVP, Director of Grant Administration and others with email, Microsoft Teams, scheduling calls, meetings (in-person and virtual), and other research-related tasks.
- Manage RSVPs, hotel reservations, and expense reimbursements for in-person meetings.
- Ensure accuracy and completeness of grants data and files in the database.
- Draft, copy edit, and update research management forms, templates and correspondence.
- Maintain orderly electronic files, transcribing, and distributing meeting minutes.
- Work with the internal business services team to process payments and reconcile research expenses.
- Build and maintain reliable, professional relationships with internal and external partners.
QUALIFICATIONS
- Bachelor’s Degree required.
- 3+ years of administrative experience (nonprofit and/or grantmaking experience preferred).
- Familiarity with database management and workflow process implementation preferred.
- Strong organizational skills, attention to detail.
- Ability to manage multiple priorities with a flexible/adaptable approach.
- Advanced computer skills, including Microsoft Office Suite, Outlook/Office 365, database entry (SmartSimple), Teams and Zoom meeting conference management.
- Experience with complex scheduling and calendar management.
- Excellent written, verbal, and interpersonal communications skills, with strong proofreading and formatting ability.
- Sound professional judgment and discretion in handling confidential matters.
- Ability to work collaboratively across teams, in person and remotely.
- Interest in supporting fundamental science discovery related to ending Alzheimer’s disease and improving health outcomes.
Position Type/Expected Hours of Work
- This role is full-time, but working hours may be flexible depending on circumstances.
- This role can be fully remote or hybrid. It does not require residence in our local area (Wellesley Hills, MA).
Salary and Benefits
- Expected annual salary range for this position is $60,000 - $75,000. Final salary will be commensurate with experience.
- Employees (and their families) are eligible to enroll in benefits per eligibility rules. Benefits include medical, dental, vision, and basic life insurance.
- Benefits also include a 401K plan, paid time off and 13 holidays per year.
