The Health Effects Institute (HEI) is an independent, nonprofit research organization that provides trusted, impartial science on air pollution and environmental health to governments, communities, and global decision-makers. We are seeking a highly organized, tech-savvy Administrative Coordinator to support HEI’s cross-organizational operations, including executive support, board logistics, science meetings, development systems, and general office needs.

This role is ideal for someone who thrives in a mission-driven environment, enjoys keeping complex operations running smoothly, and wants to grow within a small but fast-moving organization. You’ll work closely with the Chief of Staff and collaborate with teams across HEI—including Science, Communications, Finance & Admin, and Development.

What You’ll Do

  • Coordinate schedules, logistics, and materials for the CEO, Board of Directors, and key committees
  • Support the Science team with meeting scheduling, research program logistics, and reviewer coordination
  • Assist with application processing for research funding, hiring, and assistantships
  • Support planning and operations for HEI’s Annual Conference and other organizational events
  • Maintain HEI’s CRM, contact lists, shared files, and document workflows
  • Provide general office and operational support in HEI’s hybrid work environment

What You Bring

  • 3–5 years of administrative, program, or operations experience
  • Strong organizational skills and comfort managing multiple priorities
  • High proficiency with Microsoft Office, Zoom, Teams, and databases/CRM tools (Zoho a plus)
  • Ability to troubleshoot basic AV/virtual meeting setups
  • Strong written and verbal communication skills
  • Interest in contributing to a mission-driven, science-based nonprofit

Compensation & Work Environment

  • Full-time, exempt position
  • Hybrid schedule: typically 1–2 days per week in the Boston office, with flexibility based on organizational needs
  • Salary range: $65,000 - $80,000/year, commensurate with experience
  • Generous benefits package
  • Occasional travel (up to 5%)
