Administrative Specialist
EXECUTIVE OFFICE OF THE PRESIDENT
Summary
This position is located in the Executive Office of the President, Office of Science and Technology Policy (OSTP), Budget and Administration Division (B&A). The office is responsible for all day-to-day operations including human resources, security, IT, budget, finance, travel, procurement, facilities, office space management, records management, parking, printing, transit benefits, and more.
Duties
As a Administrative Specialist, GS-0301-11/12, your typical work assignments may include the following:
Responsible for the day-to-day administrative operations and support throughout OSTP and works closely with the Operations Manager and Budget and Administration Staff.
Create and review outgoing correspondence for format, typographical accuracy, conformance with procedural instructions and determines that all necessary background materials are attached.
Makes travel and lodging arrangements for domestic and foreign travel for OSTP staff members using the CONCUR system and conducts detailed analysis of mission requirements and develops travel options consistent with the Federal Travel Regulations and White House Travel Policy.
Works with staff on a daily basis providing administrative needs. Maintains calendars, scheduling, meetings, briefings, conferences, social events and other engagements.
Determines what staff elements should be involved; sends meeting invites; schedules and coordinates meeting location and/or video teleconference requirements; and assists with set-up.
Inventories office supplies and independently initiates procurement.
Serves as the OSTP records administrative advisor to staff. Works closely with the OSTP records manager.
