Prospect Research & Strategy

  • Serve as the primary internal contact for City Teaching Alliance’s advancement partner, ensuring clear communication of shared priorities, deadlines, and deliverables.

  • Schedule and facilitate joint meetings, track project progress, and follow through on action items.

  • Coordinate donor data, reports, and campaign updates to align activities between the organization and the advancement partner.

  • Support consistent messaging and donor stewardship activities across internal teams and external partners.

  • Conduct in-depth research on individuals, corporations, and foundations using online tools, databases, and public sources.

  • Evaluate wealth indicators, philanthropic interests, and history to assess potential giving capacity, propensity, and alignment with City Teaching Alliance’s mission.

  • Proactively identify new funding opportunities and provide strategic input to the Executive Leadership Team and Board for engagement.

Donor Database and Gift Processing

  • Maintain accurate donor records within the CRM and support timely processing of gifts and pledges.

  • Coordinate workflows for gift acknowledgment and donor reporting, including those tied to partner-led initiatives.

  • Enter data, process gifts, generate IRS-friendly receipts, draft acknowledgments, generate monthly reports and other donor documentation in timely, accurate manner

  • Update and maintain database records ensuring record integrity, fidelity, confidentiality, notes/all pertinent info is accurately captured and protocols are followed

  • Maintain accurate electronic files and records necessary for the compliant and orderly management of the AO function

  • Coordinate grant and communications materials produced by the department and/or its contractors to ensure that projects meet deadlines and specifications, including, but not limited to: liaising with staff as directed, tracking edits, securing release forms and obtaining vendor quotes

Communications and Event Support

  • Assist with donor and partner communications, ensuring materials align with advancement strategy and organizational messaging.

  • Provide planning and logistical support for fundraising events, working closely with the advancement partner.

Policy Alignment and Compliance

  • Track policy developments in teacher preparation, workforce development, and nonprofit fundraising that may influence advancement strategy.

  • Summarize key policy updates for leadership and support integration of insights into fundraising and communications.

  • Support compliance with donor management, gift acceptance, and nonprofit fundraising ethics.

  • Maintain governance-related policies (e.g., Conflict of Interest, Whistleblower, Records Retention) and support internal training to ensure staff awareness and compliance.

  • Monitor federal, state, and local regulations affecting nonprofit fundraising and coordinate with leadership to maintain organizational integrity.

 

Requirements

  • Master’s degree preferred.

  • 1–2 years of experience in advancement, policy, fundraising, event coordination, or nonprofit administration.

  • Proficiency with CRM systems and office productivity software.

  • Strong organizational and communication skills with the ability to manage multiple projects and coordinate external partnerships.

The Advancement and Policy Coordinator supports City Teaching Alliance’s fundraising and external affairs efforts by coordinating advancement activities and ensuring alignment with the broader education policy landscape. Reporting to and working closely with the Chief of Staff, this role serves as the primary liaison with the organization’s advancement partner and manages communication, donor database support, gift processing, and event logistics. In addition, the Coordinator tracks education and workforce policy developments that affect teacher preparation and nonprofit advancement and supports the organization’s compliance with internal governance and fundraising standards. This integrated role helps advance fundraising goals while grounding the work in transparency, ethics, and awareness of the external policy environment.

This role is ideal for a detail-oriented professional interested in the intersection of fundraising operations, nonprofit governance, and education policy.

Target Start Date: By June 1, 2026

 

Location:  Hybrid, but must be based in the designated region within Baltimore, Dallas, Philadelphia, or Washington, D.C.

 

Time Commitment & Compensation: Full-time role. $53,692 through $57,000. We do not negotiate salaries.
