Arizona Operations Manager and State Scheduler

The Office of Senator Ruben Gallego is seeking a highly organized, detail-oriented, and mission-driven individual to serve as AZ Operations Manager and State Scheduler in his Phoenix, Arizona office. This senior-level position will report directly to both the State Director and the Operations Director, and is responsible for overseeing Arizona office operations, managing the Senator’s in-state schedule, and ensuring smooth coordination of staff, logistics, and constituent engagement. The role requires excellent judgment, discretion, and the ability to represent the Senator’s office in high-profile settings.


Responsibilities include, but are not limited to:


Office Operations & Staff Support:

The Manager will assist the State Director in managing day-to-day office operations, including workflow, reimbursements, technology and facilities needs, and staff support. They will maintain and improve systems for communication, materials preparation, and onboarding, and will help supervise and guide Arizona staff. The Manager will also work closely with the Operations Director to ensure alignment with office-wide systems, processes, and operational standards.


Scheduling & Senator Support:

The Manager will manage and coordinate Senator Gallego’s Arizona schedule, reviewing and prioritizing meeting requests, invitations, and events. They will prepare itineraries, ensure staff are adequately assigned to events, and anticipate logistical needs to support the Senator’s time in Arizona. This responsibility will be carried out in close coordination with the Operations Director and other relevant D.C. and Arizona staff.


Constituent & Stakeholder Engagement:

The Manager often represents the Senator and the office in meetings with community members. They will maintain relationships with stakeholders across Arizona and ensure the Senator and staff are adequately briefed on issues and priorities.


Leadership, Discretion & Judgment:

The Manager will exercise discretion and independent judgment in sensitive matters, anticipate the needs of the Senator and office, and proactively develop systems and solutions. They will model professionalism, composure under pressure, and teamwork across the office.


Candidate Qualifications:


Strong organizational, scheduling, and time-management skills.

Excellent judgment, discretion, and ability to handle sensitive information.

Skilled communicator with the ability to represent the Senator in professional settings.

Demonstrated ability to balance multiple projects and meet deadlines in a fast-paced environment.

Prior experience in government, politics, or executive operations strongly preferred.

Familiarity with Arizona’s political and community landscape is a plus.

Location and Work Environment:


This position is based in Senator Gallego’s Phoenix, Arizona office.
