Position Summary:

Help a Mother Out seeks a detail-oriented, part-time Community Engagement Coordinator with a passion for building a world where everyone has what they need to thrive. This role will be an important part of a small team with a big impact. Together with the Director of Community Engagement, they will be tasked with increasing private funding and maintaining and improving the systems that make this possible. 

This includes coordinating donor relations, donor database administration, and other development operations activities. Externally, they will serve as our “boots on the ground,” ensuring the organization is proactively engaging with our community of partners and supporters. This is a dynamic and exciting role for someone who wants to be an integral part of a team committed to strengthening California's social safety net and beyond.

About the Organization:

Help a Mother Out (“HAMO”) works to improve baby and family well-being by increasing access to diapers for families in need. We distribute diapers through a network of social service partners operating within diverse communities, service models, and geographic focus. We also advocate for the inclusion of diapers in the social safety net. Since 2009, we have distributed over 54 million diapers, primarily in the Bay Area metropolitan region. We are a small and mighty organization and endeavor to conduct our work practicing “excellence with ease” and co-creating a culture of learning, mutual respect, inclusion, and belonging.

Primary Responsibilities:

The percentages below are yearly averages.

Donor Relations and Administration (50%)

  • Support with all aspects of the donor life cycle, from prospect research, to cultivation, to stewardship
  • Point person for donor database administration, data entry, reporting, and systems management
  • Regularly log donations from diverse revenue streams and streamline backend processes
  • Coordinate weekly donor thank you notes/emails and receipts

Community Engagement (25%)

  • Event logistics and coordination in partnership with the Director of Community Engagement
  • Volunteer management for events in partnership with the Senior Program Coordinator
  • Serve as an ambassador for HAMO, raising awareness about our work in the community and representing the organization at community events and fundraisers
  • Identify/elevate emerging opportunities for engagement with our community stakeholders (individuals, corporations, schools, etc.)
  • Represent HAMO at corporate engagements and volunteer events

Marketing and Communications (20%)

  • Assist with the production and dissemination of a regular stream of content (photos, videos, and written) for Help a Mother Out’s social media (e.g., Instagram, Facebook, Twitter) and email newsletter
  • Work on marketing collateral production (invitations, mailings, fundraising campaigns, etc.)
  • Support for video production (for social media as well as more formal events)
  • Make regular updates to the website

Miscellany (5% - as needed)

  • Assist with research and knowledge management around all areas of the job
  • Monthly in-kind diaper donation pick-up and drop-off
  • Office coordination, including checking the mail and ensuring the office remains organized
  • Respond to telephone, email, and other requests for information from the public, donors, potential supporters, constituents, and partner agencies
  • Assist with managing our general organization email, responding and forwarding as appropriate
  • Communicate with colleagues and stakeholders on a daily basis via email, phone/text, and in-person
  • Other activities deemed appropriate by management that will promote and enhance our mission

Qualifications

  • Excellent organizational skills, attention to detail, accountability, and follow through
  • Proficient in data entry and skilled at systematizing processes. Experience with Salesforce or a similar donor database is strongly preferred
  • Excellent interpersonal communication (oral, written, nonverbal) 
  • Proficiency in Microsoft Office Suite, Google Workspace, Asana, Dropbox, Squarespace, Mailchimp
  • Working familiarity with Canva and/or Adobe Creative Suite
  • Proficiency at working via virtual office and in-person in the community
  • Adept at working with people from diverse backgrounds, including staff of partner organizations, program participants, cross-functional team members, board of directors, donors/volunteers, funders, and those with varied political or world views

Highly desired but not required: Bilingual speaking proficiency (e.g., Spanish, Cantonese)

Position Requirements

Ability to perform the duties described above. A typical means of acquiring those abilities would be:

  • Three (3) or more years of relevant work experience
  • OR a Bachelor’s degree and one (1) or more years of relevant work experience
  • Relevant experience might include (but is not limited to) the following:
  • Experience in nonprofit development operations (as a part-time, temp, or full-time employee)
  • Experience in office administration (reception, data entry, admin assistant, or office coordinator)
  • Experience in a customer service or customer-facing role (this could include working in the service/retail industries, at a tech company, or other)

  • Valid California driver’s license and ability to travel by personal vehicle primarily within Oakland/San Francisco; and Alameda, San Francisco, San Mateo, Santa Clara, and Contra Costa counties
  • Able to lift and carry up to 30 lbs., occasionally
  • For the protection of our clients and team, we require all employees to be vaccinated for COVID-19. There are limited exemptions to vaccination requirements, such as religious beliefs and qualifying medical reasons. In order to claim an exemption, employees must submit a declination form to the Executive Director. Unvaccinated exempt people must also get tested for COVID-19 at least once a week using either a nucleic acid or an antigen test.

Office Location, Hours, and Compensation

Office and Hours

  • This is a part-time position with potential growth. Company hours are 9 am–5 pm, with some flexibility. Your part-time schedule will be set in collaboration with your manager
  • The Community Engagement Coordinator will regularly attend in-person events. Additional hours, occasional nights, and weekends as needed

Compensation

This is a part-time, 15-20/hours a week position (with a maximum of 24 hours). Compensation is $31/hour. Benefits for part-time employees include vacation, holiday, and sick time (prorated).

HAMO is committed to paying competitive industry wages. In an effort to increase equity, because we know that salary negotiations tend to have an unfair bias, we do not participate in a salary negotiation process for any candidate. We will make our best offer, and it will be the same regardless of the candidate.
