Job Title: Development Assistant

Job Type: Full-Time, exempt | 40 hours per week

Reports to: Executive Director

Supervises: Volunteers when appropriate

Description

The Development Assistant reports to the Executive Director and works with the Board of Directors of the Friends of the Mennello Museum of Art, the 501(c)(3) organization known as The Friends. The role involves supporting the museum's development efforts, membership activities, providing administrative assistance to the Board, and coordinating events. Responsibilities include office management, communications, event planning, database management, grant research, and facilitation. The position also involves advocating for the museum's mission and supporting The Friends of the Mennello Museum of Art. This is a 501(c)(3) museum role funded by The Friends and is not a City of Orlando employment.

To succeed in this role, a strong commitment to the Mennello Museum’s collection, exhibitions, and programs is essential, along with the ability to work effectively with a diverse group of Board leaders. The candidate should demonstrate a genuine interest in development, event planning, grant support, and maintain a professional attitude and outlook, while being able to work both collaboratively and independently.

Responsibilities include, but are not limited to, the following:

· Assist the Executive Director, the Executive Committee of the Friends Board, and the Friends Board in advancing development, growing membership, and coordinating events. Act as a professional liaison between the Executive Director and The Friends Board, as well as with other boards when needed.

· Preparation of the annual grant and events budget.

· Support annual special events and fundraisers by handling administrative tasks such as managing the database, handling professional correspondence, overseeing marketing, coordinating ticketing, supporting auctions, managing content, and working with artists, vendors, and patrons.

· Plan and manage exhibition openings and related events for the public, patrons, artists, curators, and out-of-town visitors.

· Create and manage two calendars: Grants & Special Events calendar, including deadlines and the production schedule.

· Work on the donor and member databases, along with campaigns.

· Manage acknowledgements to include all tax donation forms and thank you letters.

· Manage the donation of artwork, goods, experiences, and catalogs, including handling images and credit lines for events.

· Providing Board Support: assisting the Executive Director with scheduling and preparing for Board Committee Meetings, Board of Directors Meetings, and Executive Meetings, including mailing materials, organizing packets, greeting members, setting up and cleaning up, taking and distributing minutes, and following up on meetings.

· Manage the database, create appeals, and handle marketing and outreach to grow membership. Developed and implemented benefits.

· Managing individual and business membership programs: handling renewal requests, lapsed notices, membership promotion, mailings, correspondence, communication, distribution of membership information to the front desk and other areas, and maintaining current membership lists.

· Recording grants, sponsorships, corporate members, foundations, government support, and individual donors and members, entering donor information; compiling mailing lists; processing gifts, and composing acknowledgements.

· Writing original and creative narratives and articles about development, membership, and events, including promotions, profiles, or interviews for print, e-news, the Annual Report, and the website. Staying updated on current trends and best practices.

· Arrange Donation pick-up and delivery.

· Assists with and arranges all silent auctions and sponsor benefits.

· Cultivating new members and growing membership with a variety of demographics.

· Assists with museum mailings and updating mail lists, donor screen.

· Assist with social media: drafting media posts for development and events.

· Helps post events through various tasks regarding thank you, photos, evaluations, and reports.

· Manage Pet Membership and organize Pet Events to include securing sponsorships.

· Designing and implementing innovative membership events and campaign ideas.

· Produce and oversee grant writing by preparing research necessary for foundation, corporate, and government funding opportunities. Maintain the annual grant calendar and ensure compliance with all deadlines.

· Implementing and managing Corporate Membership: enhancing existing business relationships and identifying, reaching out to, and developing new ones; advocating for the Mennello Museum’s mission and value to the community in innovative ways to Orlando’s business sector.

Required experience and skills:

· Degree in business, administration, events, or development, or related field.

· 1-3 years' experience in administrative or fundraising (non-profit experience a plus).

· 1-2 years of experience in a professional art museum or cultural institution.

· Knowledge and interest in art and best museum practices.

· Excellent verbal and written communication skills.

· Excellent interpersonal skills; warm, friendly, and engaging.

· Proficiency in Adobe Creative Suite, Microsoft Word, Excel, PowerPoint, Outlook, and

database management experience.

· Ability to handle confidential information with sensitivity and integrity.

· Ability to organize and prioritize work and balance tasks to meet deadlines.

  • Skills: Proficiency in Microsoft Office applications (Word, Excel, PowerPoint). Ability to learn organization-specific software, including databases and content management systems. Strong professional writing and communication skills. Ability to manage multiple priorities in a fast-paced environment with attention to detail.

Work Schedule:

The Development Assistant is a full-time, exempt role that requires a minimum of 40 hours per week, with standard office hours from Monday to Friday, 8:30 am to 5:00 pm. This position also involves evening and weekend hours to support Board activities and Museum events.

Compensation:

The annual salary for this position is $40,000 and offers health care benefit reimbursement.
