GENERAL STATEMENT OF RESPONSIBILITIES & DUTIES:
Reporting to the Deputy Chief Development Officer for Corporate Programs, the Development Associate provides the administrative support for the Corporate Patron Program and the Real Estate Council and is the primary contact for all corporate entertaining inquiries for the corporate team. S/he is responsible for preparing renewals and acknowledgment letters, processing contributions, tracking renewals, and overall service of Corporate Patron and Real Estate Council members. Maintains corporate files, updates and reprints all program-related materials, assists with Business Committee meetings and the annual Spring Gala and Real Estate Council Benefit.
This position is a key member of a 6-member team charged with raising approximately $18 million annually from corporate donors.
PRIMARY RESPONSIBILITIES & DUTIES:
• Liaison with the Development Events team, Office of Special Events, Membership and Education Departments on all corporate events held at the Museum and attends regular interdepartmental event meetings
• Responds to all entertaining inquiries from corporate prospects, Corporate Patron and Real Estate Council members and special exhibition sponsors, i.e., for large and small scale events, after hours and daytime tours, meetings, breakfasts and luncheons
• Facilitates all event related correspondence including the review of entertaining budgets and contracts and the preparation of the final version of contracts for signature
• Drafts Corporate Patron and Real Estate Council membership renewals, gift postings, written acknowledgements and maintains member lists
• Tracks income and expenses and updates financial records
• Prepares monthly income reports, free admission list, as well as Annual Report lists
• Prepares annual grant proposals and solicitation materials, answers inquiries,
updates the corporate program information on the museum website
• Coordinates printed and digital materials, including brochures, letterhead, courtesy cards and guest passes
• Performs other related duties as assigned
REQUIREMENTS & QUALIFICATIONS:
Experience and Skills:
Successful candidates will be extremely detail-oriented, able to multi-task, highly motivated, and work well with others. They will be able to function in a fast-paced environment, must be able to work well under pressure and meet deadlines. They must also have proven written and oral communication and strong organizational skills and be comfortable interacting with both external and internal constituents. They must have the ability to exercise excellent judgment, decorum, confidentiality, and diplomacy in all interactions.
Knowledge and Education:
• B.A. required
• 4 years professional experience
• Excellent written and verbal communication skills
• Computer literacy and knowledge of Microsoft Office (Outlook, Word, Excel, PowerPoint)
• Previous development experience preferred, including familiarity with a donor management database such as Tessitura or Raiser’s Edge.
• Excellent administrative skills including general office procedures and business protocols
• Ability to work independently, handle a large volume of detailed work simultaneously, and use good judgment in prioritizing work.
• Foreign language(s) a plus.
