Job Description
Portland Japanese Garden – a 501(c)(3) non-profit in Portland, Oregon – is hiring for a full-time Development Coordinator. The Development Coordinator will have primary responsibility for overseeing the daily operation of the database and be the point person for the Development Department’s administration tasks. This position is perfect for someone who is detail-oriented, able to shift quickly between projects and priorities, and exemplifies professionalism and courtesy. The range of duties requires the ability to both manage a proactive and time-sensitive work schedule on an independent basis and to work productively as part of both the individual and institutional giving teams.
This position reports to the Philanthropy Manager and will work from our remote office, located off the Sylvan exit of Highway 26, with the ability to work from home one day per week after completing the 90-day introductory period.
Primary Duties
Donor Database Administration and Maintenance
• Oversee the daily operation of the database including ensuring the accuracy and integrity of the data, maintaining updated donor information, booking event or admission tickets, updating duplicate records and donor solicitation preferences.
• Enter all gifts received into the database and lead donor acknowledgments for individual, corporate, and foundation gifts.
• Maintain tracking of in-kind gifts for input into the database.
• Serve as the point person for Development list creation including mailings, emails, and donor recognition.
• Maintain updated documentation of Development’s Tessitura processes and procedures.
• Manage all online giving tools, including processing EFT and credit card donations.
• Monitor recurring gifts, ensuring that recurring gifts are on schedule. Follow up with donors when electronic payment information needs to be updated.
• Reconcile donations on a monthly and annual basis with the Finance Department.
• Generate pledge reminder letters and monitor overdue pledges.
• Provide documentation to the Finance Department as needed for record keeping and auditing purposes.
• Classifying and filing documents, including donation documentation and sorting for the development team.
• Support the development team with entering donor activities/plans, tracking donors through the moves management process, updating giving interests, and other relationship management tracking.
Donor Engagement and Fundraising Support
• Leverage member insights and data to inform Golden Crane Society stewardship strategies, cross-promote giving opportunities, and enhance the overall donor/member experience.
• Manage list pulling and the merging Golden Crane Society renewal letters.
• Assist development team with event coordination, including tracking RSVPs, creating name tags and overseeing the event check-in process.
• Work with Philanthropy Manager to write renewal and acknowledgement letters.
• Assist with yearly annual tax receipting for donors.
• Maintain/track Golden Crane records, benefit administration, and special requests.
• Provide note taking support for weekly Development Team and Prospect meetings.
• Work with the development and membership team to consider opportunities for upgrading memberships to become premium Golden Crane Society members, including creating segmented upgrade campaigns and crafting compelling messaging.
• Support membership events, help cover the Membership Center, and assist with membership contribution entry as needed.
• Order and inventory department supplies.

• Two years of experience in development, membership, or equivalent combination of different experiences working with clients, vendors, donors and members
• Two years of experience working with nonprofit databases (Tessitura experience preferred)
• Experience with digital programming is desirable but not required
• Strong proficiency with Outlook, Excel, and PowerPoint
• Strong organizational and analytical problem-solving skills
• Strong communication abilities, clear writing and articulate speaking ability
• Excellent customer service skills
• A proven track record of working well with others, adapting to others’ work styles, and professional interactions with co-workers and/or vendors
• Strong listening skills, giving full attention to what other people are saying or asking, taking time to understand the points being made, and asking questions when appropriate
• Organized and highly proficient at keeping a systematic schedule and calendar.
Special Requirements
• Comfortable working in an open-office environment
• Personal passion for Japanese culture and history, art and design, travel, and/or landscape design and horticulture
• Being bilingual in any language is a plus
• Valid driver’s license and reliable vehicle to travel between the various Garden campuses (mileage reimbursement provided)
Compensation & Schedule
• Wage: $22.00 - $23.00/hour, depending on experience
• This is a full-time, hourly, non-exempt position with 40 hours per week. Shifts are typically 8 hours (plus ½ hour lunch), 8:30 am to 5:00 pm, with some flexibility. Occasional evening and/or weekend work is required.
