SUMMARY:
The Office of Congressman Kweisi Mfume is seeking a Staff Assistant to serve in the Baltimore District Office. The District Staff Assistant will be expected to manage the front desk during office hours and provide a welcoming environment for Office visitors. Staff Assistants often provide the first impression of the Office to constituents and guests. This is an entry level position.
ESSENTIAL JOB FUNCTIONS:
o Answers and screens telephone calls for the Congressman and other staff members;
o Greets and screens visitors;
o Work in collaboration with the District Director and Constituent Services Manager to ensure effective communication on casework and phone trends;
o Assists persons who have appointments with the Congressman or other District staff member;
o Maintains literature regarding the District and D.C. Offices for distribution to visitors;
o Sorts US postal mail, logs in internal system, and disseminate to staff;
o Signs for deliveries and forwards all materials delivered to the Office to appropriate staff in a timely manner;
o Manages and supports interns;
o Orders all Office supplies and maintains Office equipment;
o Maintains the Office answering machine or voicemail;
o Ensures that requests for assistance are directed to the appropriate staff member in a timely manner;
o Documents visitor opinions, including full name, address, and all relevant information;
o Maintains a good working relationship with the Congressman, staff and constituents;
o Accepts performance-based criticism and direction;
o Ability to work cooperatively and courteously with others;
o Performs other duties as assigned.
EDUCATION (OR EQUIVALENT EXPERIENCE):
Bachelor’s degree required;
At least 1-2 years of office experience is preferred.
SKILLS AND KNOWLEDGE REQUIRED:
o Ability to use and troubleshoot photocopier, scanner, telephone, and other office equipment;
o Excellent organizational and proofreading skills;
o Time management skills including the ability to prioritize, and track work status
o Effective communication skills for verbal and written correspondence;
o Temperament to communicate with a variety of personalities in a tactful, pleasant and professional manner;
o General awareness of the political landscape in Maryland’s 7th congressional district;
o Ability to work cooperatively and courteously with others;
o Knowledge of office policies, practices, and procedures;
o Willingness to learn;
o Knowledge of office computer applications; and
o Proficiency in Microsoft Office 365.
WORKING CONDITIONS:
o Work is mainly performed in an office environment. Noise levels are usually moderate; and
o Ability to work in a small workstation without an expectation of privacy.
