Position Description
The North American Neuromodulation Society (NANS) is seeking a highly organized, proactive, and detail-oriented Education Coordinator to join the Education Department. Working under the direction of the Director of Education, the Education Coordinator manages assigned projects and coordinates key components of NANS educational initiatives, including the Annual Meeting, Neural Interfaces, webinars, committee activities, online learning, and continuing medical education (CME) programming. The position is responsible for driving projects forward, managing timelines, and deliverables, coordinating stakeholders, and ensuring tasks are completed accurately and on schedule. This position plays a key role in coordinating speakers, educational content, technology platforms, accreditation requirements, and member communications.
The Education Coordinator takes ownership of assigned responsibilities, plans ahead to support successful project outcomes, proactively identifies and addresses challenges, and communicates clearly and promptly to ensure alignment and progress.
The ideal candidate demonstrates sound judgement, manages multiple priorities effectively, contributes to continuous process improvement, and provides exceptional service to physician volunteers, faculty, members, and colleagues.
Essential Responsibilities
Annual Meeting Education
- Coordinate the Call for Session Proposals and Call for Abstracts, including submission, review, and notifications.
- Manage proposal, speaker, and faculty coordination throughout the Annual Meeting planning cycle.
- Maintain submission technology platforms for the Call for Proposals, Call for Abstracts, speaker management, online program, and mobile meeting app.
- Maintain accurate and consistent session, faculty, and program information across all meeting platforms.
- Enter, import, update, and verify program, session, faculty, and presentation information.
- Assist with agenda development, educational content management, and program updates.
- Coordinate educational meeting materials and faculty communications.
- Create tech reports for the speaker ready room and session rooms for the audiovisual company.
- Support on-site education operations during the Annual Meeting.
Speaker & Faculty Management
- Coordinate speaker invitations, confirmations, disclosures, biographies, headshots, and required documentation.
- Manage speaker communications, deadlines, and follow-up.
- Manage the Speaker Management System and related databases.
- Monitor speaker requirements and deadlines and conducts follow-up as needed to ensure timely completion.
- Track receipt of required speaker materials, including presentations, disclosures, biographies, and other program documentation.
- Download, organize, and maintain presentation files and other educational materials in shared folders and designated systems.
- Perform quality-control reviews to ensure program and speaker management information is accurate, complete, and consistent across systems and materials.
- Schedule faculty plenary rehearsals.
- Ensure speaker information is accurate across meeting platforms and publications.
Neural Interfaces Conference
- Provide administrative and logistical support for Neural Interfaces, a biennial conference advancing neurotechnology, brain computer interfaces, neuroprosthetics, and neuromodulation.
- Supports the set-up and maintenance of the Call for Abstract System, speaker management, and online program.
- Enter, import, update, and verify program, session, faculty, and presentation information.
- Supports faculty and speaker coordination, including communications, invitations, confirmations, deadlines and follow-up.
Continuing Medical Education (CME)
- Assist with collection and review of required disclosures and educational materials.
- Maintain records supporting CME compliance.
- Respond to member questions regarding CME credit and educational activities.
Educational Programming
- Coordinate webinars and virtual educational programs from planning through completion.
- Configure learning management system platforms, registrations, communications, and reporting.
- Coordinate online educational programming and educational committee initiatives.
- Collaborate with internal departments to support educational products and learner engagement.
Project Coordination & Operations
- Coordinate committee meetings, conference calls, agendas, minutes, and follow-up items.
- Maintain project timelines and ensure deadlines are met.
- Track program changes and maintain accurate documentation.
- Assist with development and maintenance of departmental procedures and process documentation.
- Identify opportunities to improve workflows and operational efficiency.
- Support special projects and additional education initiatives as assigned.
Technology & Data Management
- Learn and utilize various society and educational program planning tools, including the association management system (MemberClicks); proposal, abstract, speaker management, online meeting program, and app platform (Cadmium); and learning management system (Oasis).
- Maintain education-related technology platforms and databases.
- Configure educational systems including speaker management, abstract management, webinar platforms, forms, surveys, and learning management systems.
- Perform quality assurance reviews of educational content and reports.
- Generate reports and verify data accuracy across systems.
Qualifications
Required
- Bachelor’s degree required.
- Two or more years of experience in project coordination, education, healthcare, nonprofit association management, or related field.
- Excellent organizational skills with exceptional attention to detail.
- Strong written and verbal communication skills, with experience collaborating with internal and external stakeholders to coordinate projects, share information, and resolve issues.
- Proactive with ability to manage multiple priorities demonstrating strong organizational skills while effectively collaborating with internal and external stakeholders while meeting deadlines.
- Strong customer service and relationship-building skills.
- Demonstrated problem-solving and critical thinking abilities.
- Ability to work independently while collaborating effectively within a team.
- Professional proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Familiarity with virtual meeting software such as Zoom, Microsoft Teams, or similar platforms.
- Ability to learn new software systems and technology quickly.
Preferred
- Experience working with physician volunteers or professional medical associations.
- Experience coordinating continuing medical education (CME) activities.
- Knowledge of ACCME Standards for Integrity and Independence.
- Experience with education software programs, such as learning management, abstract management, speaker management, webinars, and survey tools. NANS uses Oasis for our learning management system and Cadmium for speaker and abstract management.
- Experience supporting annual scientific meetings or educational conferences.

Position Location
NANS is a remote working environment, headquartered in Illinois. Preference is for Illinois-based candidates.
Benefits and Compensation
NANS offers a comprehensive benefits plan that includes 24 paid days off per year, 11 holidays, 7% retirement plan contribution, health and dental insurance, and short-term and long-term disability insurance. All staff members receive $500 annually toward professional development activities.
