Job Description
The Executive Administrative Assistant at NorthKey Community Care provides high-level administrative and operational support to the Chief Executive Officer, Chief of Financial Management, and Chief Impact & Quality Officer. This position serves as the primary administrative liaison to the NorthKey Regional Board, all Board Committees, and NorthKey Properties, ensuring efficient communication, documentation, and coordination across the organization’s leadership and governance structures. The ideal candidate is highly organized, detail-oriented, tech-savvy, and capable of managing multiple priorities in a fast-paced environment while maintaining professionalism, confidentiality, and a high degree of discretion. Work Schedule
Full-time, Monday through Friday, 8:00 a.m. – 5:00 p.m. Evening or early morning hours may be required for Board or Committee meetings.

- Salary: $50,000 to $60,000

Qualifications
- A bachelor’s degree in Business Administration, Communications, or a related field is strongly preferred. Strong experience in a similar role may be substituted for education.
- Preferred five (5) years of experience in executive administrative support, preferably within a nonprofit, healthcare, or behavioral health setting.
- Proven ability to support high-level executives, Boards, and committees with professionalism and discretion.
- Exceptional organizational skills and attention to detail with the ability to manage multiple priorities.
- Strong written and verbal communication skills.
- Advanced proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and virtual collaboration tools (Teams, Zoom, SharePoint).
- Demonstrated experience managing confidential and sensitive information.
- Ability to work independently and collaboratively in a fast-paced environment
JOB DUTIES:
Board and Committee Administration
- Serve as the primary administrative contact for the NorthKey Regional Board, Board Committees, and NorthKey Properties Board.
- Prepare and distribute agendas, meeting materials, and minutes for all Board and committee meetings in accordance with established timelines and governance standards.
- Manage annual Board and committee calendars, ensuring alignment with organizational goals and compliance deadlines.
- Track Board and committee actions, ensuring timely follow-up on decisions, reports, and deliverables.
Executive Support
- Provide direct administrative support to the CEO, Chief of Financial Management, and Chief Impact & Quality Officer.
- Manage complex calendars, schedule meetings, coordinate travel, and ensure effective time management for executive leaders.
- Prepare correspondence, reports, presentations, and briefing materials as requested.
- Process and reconcile expense reports and purchase requests for assigned executives.
- Maintain confidentiality of highly sensitive information at all times.
- Licensing and Compliance Administration
- Oversee the tracking and renewal of all agency licenses, permits, and certifications.
- Ensure up-to-date posting of all required licenses and compliance documents across all
NorthKey buildings.
- Maintain organized documentation and systems to ensure regulatory readiness and audit compliance.
Organizational Coordination
- Serve as a central communication point between executive leadership, internal departments, and external stakeholders.
- Anticipate needs and proactively resolve scheduling conflicts, communication gaps, or operational issues.
- Coordinate logistics for executive leadership meetings, staff retreats, and major organizational events.
- Support the development and implementation of internal communication tools and systems.
Technology and Data Management
- Utilize Microsoft Office Suite and other platforms (Teams, SharePoint, etc.) to manage documentation and communications efficiently.
- Maintain electronic and paper filing systems for executive and Board documentation.
- Assist in the organization’s digital transformation initiatives and process improvements related to administrative workflows.
