Schedule: Monday to Friday, 9:00 AM – 6:00 PM (fully onsite)

About Our Client:

Addison Group is working with our client, a respected and growing organization in the professional services space, to find a high-level Executive Assistant for their Washington, DC office. The client recently moved into a beautiful new office in a prime location and is seeking a reliable and proactive professional to join their dynamic Finance team.

Job Description:

This Executive Assistant will support 5–6 senior leaders within the Finance department. The role is suited for someone who is confident, resourceful, and able to operate with minimal guidance. The right person will be comfortable managing a wide range of administrative duties, coordinating busy calendars, handling intern tracking, and ensuring executives are prepped and ready for meetings and travel.

Key Responsibilities:

  • Manage complex calendars and schedule meetings for multiple senior executives
  • Coordinate internal meetings, external engagements, and seasonal intern interview logistics
  • Maintain applicant tracking system records related to intern hiring
  • Arrange domestic and international travel and create detailed itineraries
  • Prepare executives for meetings by gathering background info and materials
  • Serve as point of contact during on-site meetings and visits from clients or internal stakeholders
  • Submit expense reports and assist with invoice tracking and billing support
  • Organize and manage confidential contact lists and documentation
  • Provide general office and guest support as needed
  • Help with special projects, event coordination, and day-to-day administrative tasks

Qualifications:

  • Minimum of 3 years’ experience as an Executive Assistant or in a similar administrative support role
  • Professional services, legal, or Capitol Hill experience strongly preferred
  • Proficient in Microsoft Office Suite (Outlook, Word, Excel) and video conferencing tools (Zoom, Teams)
  • Exceptional time management, multitasking, and organizational skills
  • Excellent verbal and written communication abilities
  • Able to work independently with minimal direction
  • Willingness to work paid overtime as needed
