Job Summary:

The Executive Assistant reports to David Axelrod and his Chief of Staff and will manage his schedule, arrange travel, and perform other administrative duties. The ideal candidate is organized, detail-oriented, highly motivated, comfortable working in a fast-paced environment, and has an interest in politics. This role requires the knowledge and skills developed through work in a related position, including the ability to interact with external and internal partners with the utmost level of discretion and professionalism. This role includes mostly remote work, with occasional, irregular days that align with the executive's schedule. The role includes irregular hours and some travel.


Responsibilities

  • Provide high-level assistance to Mr. Axelrod (the principal) in his work at educational institutions and professional appearances
  • Manage a variety of administrative tasks, including an extremely active calendar of meetings, speaking engagements, and media appearances
  • Arrange and manage travel plans and itineraries for the principal and others as assigned
  • Plan and ensure that the principal's schedule is followed and respected, and work closely and effectively with Mr. Axelrod to keep him well-informed of upcoming commitments and responsibilities
  • Prioritize, organize, and track incoming scheduling requests
  • Assist with the scheduling and production of podcasts, including coordinating with guests and occasional research
  • Assist in preparing briefing documents and conduct research for speaking engagements and commitments
  • Anticipate the needs of the principal and take steps to remove barriers to his effectiveness in his roles
  • Proactively manage scheduling calendars, including resolution of schedule conflicts, schedule prioritization, and meeting logistics (location, audio/video, meals, etc.)
  • Manage detailed arrangements for upcoming meetings, identifying clear meeting purpose/objectives, validating attendee lists/notifications, communicating required pre-work/deliverables, and helping coordinate necessary follow-ups
  • Create and refine meeting materials, including writing and editing, and document tracking
  • Perform administrative functions with careful attention to detail, complete confidentiality, a positive attitude, and discerning judgment
  • Process expense reports, make travel arrangements, and broadly support the activities and administrative needs of executives
  • Be available to the principal and manage email and text communications in the evenings, early mornings, and weekends
  • Other duties as assigned, which are broad and diverse in nature


Minimum Qualifications

Experience:

Minimum requirements include knowledge and skills developed through 2-4 years of work experience in a related job discipline.


Preferred Qualifications

Education

  • Bachelor's degree

Experience

  • Knowledge and skills developed through 3-5 years of work experience, including 2 years of related experience working in politics, non-profits, or other associated fields
  • Experience and interest in politics, campaigns, or public service is a plus
  • Proficiency with Microsoft Office Suite, with high proficiency in Word, Excel, and PowerPoint, and with Adobe Acrobat

Technical Skills or Knowledge:

  • Computer proficiency in MS Office
