Hiring Salary Range: $50,000-$52,000
Department: Boards and Commissions
Summary of Functions: The Executive Assistant for the Office of Boards and Commissions provides direct administrative support to the Director of Boards and Commissions. The Office of Boards and Commissions is responsible for recommending individuals for appointments to the Governor for service on over 300 Boards and Commissions.
Essential Duties and Responsibilities:

Front desk and telephone reception duties assisting internal and external customers; may serve as the first point of contact and must conduct business with a professional demeanor.

Quickly manage scheduling, appointments and calendars for the Director of Boards and Commissions and as necessary for their staff.

Coordinate speaking engagements and create marketing materials for them
-
Design, implement and document office procedures.
-
Provide information about Boards and Commissions to stakeholders.

Prepare meeting materials, scan documents, and electronic document creation or modification as needed.
-
Establish and maintain effective and cooperative working relationships with all levels of stakeholders, including internal customers, the public, and other agencies.

File, retrieve, and prepare documents, correspondence and reports.
-
Answer public email questions, telephone, check voicemail messages and respond as appropriate.

Assist with tasks deemed necessary by the Director & Deputy Director including, although not limited to:

Draft executive orders, letters, memos, and other documents
-
Maintain and update files
-
Process Executive Orders following Governor’s signature
-
Assist in managing Board and Commission interns and oversee intern tasks
-
Manage the boards and commissions shared drive and ensure that boards and commissions documents are up to date and accessible
-
Maintain an effective information tracking system for diversity reporting, new applications received, background checks, call lists, rejection letters, and certificates

Conditions of Employment
Applicants must pass a thorough background check prior to employment.
Effective September 20, 2021, employees will be required to attest to and verify that they are fully vaccinated for COVID-19 and may be required to submit to regular serial testing. Upon hire, new employees will have three (3) business days to provide attestation to their COVID-19 vaccination status with proof of vaccination.
