Executive Assistant to the President and CEO

Position

The Executive Assistant to the President and CEO acts as the primary assistant to the President and CEO, including managing the executive schedule, assisting with fundraising organization, and serving as the coordinator for meetings of the Board of Trustees. This position plays an integral role in ensuring efficient day-to-day operations of CSPC, and also provides support as needed to other senior staff to ensure the efficient operation of CSPC programs. This position will report directly to the President and CEO. 

Primary Responsibilities

Executive Support

  • Serve as assistant to the President and CEO;
  • Manage President and CEO’s calendar and travel schedule, including scheduling and communicating appointments, booking travel, submitting expense receipts;
  • Assist the President and CEO with fundraising, including drafting and tracking correspondence and receipt of funds;
  • Perform tasks related to correspondence, filing, coordination of interns, and general office administrative support;

Events and Public Profile

  • Support the planning and execution of CSPC program events and internal meetings, including coordinating, scheduling and logistics;
  • Support the President and CEO and other staff in the drafting and development of announcements, project reports, and other communications for external audiences;
  • Manage, create, and disseminate correspondence and web site content including drafting, editing, and proofing documents, memos, e-mails, social media posts, with advice from other senior staff;

Board Relations

  • Respond to trustee inquiries and requests and help manage relations between the Board and CSPC;
  • Collaborate with the President and CEO to develop agendas for and organize and distribute relevant materials for quarterly Board meetings and committee meetings;
  • Maintain expertise on CSPC Board policies and procedures.

Required Qualifications

  • Bachelor’s Degree required
  • Excellent organizational skills with an attention to detail
  • Ability to multitask, juggling multiple projects with tight deadlines in a team environment
  • Must be a positive self-starter who brings energy and enthusiasm, and the ability to work with a broad range of people within and outside the Center
  • Exceptional written and verbal communications skills
  • High level of maturity, professionalism, poise, and excellent judgment
  • The ability to manage sensitive organization information with discretion
  • Impeccable integrity
  • Strong work ethic and interpersonal skills

Desired Qualifications

  • One-two years of professional experience providing programmatic and/or administrative support
  • Experience working with an organization in the non-profit services, government or academic sectors
