POSITION SUMMARY

The Industry Relations and Development Specialist plays a key role in supporting and advancing ISTH’s industry partnerships. Reporting to the Manager of Industry Relations, the Specialist provides support across sponsorship, exhibition, and grant programs. This full-time position is ideal for a detail-oriented, proactive individual looking to contribute meaningfully to the growth and fulfillment of ISTH’s industry-related initiatives.

ESSENTIAL FUNCTIONS:

Client and Sales Support

Serve as first-line contact for non-sales client support inquiries (e.g., login issues, benefit clarification, invoicing questions)

Assist with drafting and editing key sales documents, including the ISTH Congress and Non-Congress Sales Manuals

Support sales operations across all industry events, including contract coordination, Salesforce tracking, and handoff to implementation

Draft and maintain client feedback surveys and partner-facing communications at the direction of Industry Relations Manager

Create and maintain tracking dashboards and regular status reports for internal and external use

Provide consistent and professional coverage during high-volume periods and during staff travel

Conduct public-facing research to support sales pipeline development, including identifying potential contacts, background information, and organizational details as needed

Data and Budget Coordination

Demonstrate comfort and confidence working with numbers, including entry of budget data, reviewing financial documents, and maintaining accurate tracking tools

Assist with compiling financial figures for reporting, projections, and tracking against goals

Contract and Invoicing Process Management

Coordinate the full contract lifecycle per ISTH Standard Operating Procedures: request, drafting, distribution, follow-up, signatures, and archiving

Lead all invoicing activities in coordination with the ISTH Finance Team such as sending completed contracts and request invoices be created, monitor, and follow up on payment status

Coordinate closely with ISTH Finance to ensure accurate, timely processing of payments per agreement terms

Maintain confidential and organized contract and financial records

Salesforce Management and Reporting

Serve as lead on Salesforce data entry, partner record updates, and report generation

Ensure Salesforce accuracy across sales pipelines, benefit fulfillment, and internal tracking

Support internal forecasting and performance metrics through regular reporting

Project and Meeting Coordination

Schedule and coordinate internal and external meetings (e.g., client calls, internal planning sessions)

Manage logistics for both virtual and in-person meetings, including agendas, room setup, AV, and printed materials (e.g., name plates)

Take meeting notes as needed and help ensure timely follow-up on all action items

Grant and Funding Support

Complete and submit grant and/or funding requests in collaboration with senior staff

Track status of all submitted grants, follow up as needed, and maintain accurate reporting on progress and deliverables

Work with the ISTH Finance team to ensure proper invoicing, payment and reconciliation compliance for all supported grants

Benefit Fulfillment and Cross Department Coordination

Track delivery of benefits across all partnership tiers/programs

Coordinate benefit fulfillment for all Industry Relations programs across various ISTH departments in alignment with manager guidance, ensuring professional experience for partners

Maintain up-to-date fulfillment trackers and documentation

Prepare post-event report cards for partners with support from Industry Relations Manager

Other

Format and update internal and external-facing documents, PowerPoint decks, and reports for professional distribution

Support internal team processes and contribute to ongoing improvements in tools and workflows

Assist with other tasks and projects as assigned

KNOWLEDGE AND SKILLS REQUIRED:

Excellent organizational skills with the ability to manage competing priorities and deadlines

Strong interpersonal and written communication skills, including the ability to work effectively across cultures and time zones

Professionalism and discretion in handling sponsor, financial, and strategic information

Confident and professional in meetings, on Zoom, and in client-facing conversations

Keen attention to detail and follow-through — sets a high standard for work quality

Able to work independently with direction and seek clarification when needed

Responsive to shifting priorities and proactive in identifying and resolving issues

Ability to build strong working relationships across departments and with external partners

Interest in developing an understanding of and commitment to ISTH’s mission and guiding principles

EXPERIENCE AND MINIMUM REQUIREMENTS:

Bachelor’s degree in Business Administration, Communications, Nonprofit Management, or equivalent professional experience

Experience supporting a high-volume, year-round sponsorship or development program, ideally with direct partner interaction

Strong preference for experience working with global clients or stakeholders in a culturally aware, respectful manner

Demonstrated ability to work autonomously within a structured framework and follow standard operating procedures

Advanced proficiency in Salesforce (or similar CRM), Microsoft Excel (including formulas and formatting), PowerPoint, Sponsorship Event Management Tools (such as eShow, Cadmium, or similar) and Canva (or similar design tools)

Proven ability to produce high-quality work under deadline pressure with a strong customer service orientation

WORK ENVIRONMENT:

This position is mainly sedentary but may require the ability to lift and carry up to 30 lbs. of materials

Weekend and after-hour work may be required as dictated by the event schedule

Domestic or international travel may be required, two to three times per year

Employment location is remote, based on skills, and experience of applicant.
