Marketing Operations Coordinator

Illinois Right to Life is seeking a Marketing Operations Coordinator to support the organization's fundraising, communications, and advocacy efforts by maintaining accurate constituent data and ensuring the effective operation of our marketing and donor management systems.

This individual will be responsible for maintaining Illinois Right to Life's constituent records across Salesforce, HubSpot, Donorbox, and related software platforms. The Marketing Operations Coordinator will help ensure our fundraising, communications, and advocacy teams have reliable data, organized systems, and the operational support necessary to effectively engage supporters throughout Illinois.

This position reports directly to the President & CEO. While entrusted with significant responsibility in maintaining the organization's constituent database and marketing systems, major strategic, financial, and organizational decisions remain under the direction of the President & CEO.

This is a full-time, salaried position with optional healthcare and dental benefits.

This is a 100% remote role, with occasional in-state travel required for staff meetings, training, and organizational events. ONLY ILLINOIS RESIDENTS WILL BE CONSIDERED.

JOB DUTIES

• Work closely with the President & CEO and organizational leadership to support fundraising, communications, advocacy, and constituent engagement initiatives through effective database management and reporting;
• Maintain accurate donor, supporter, volunteer, and constituent records within Salesforce, HubSpot, Donorbox, and related software platforms;
• Process constituent imports, exports, record updates, and database cleanup to ensure data accuracy and consistency;
• Identify and merge duplicate records while maintaining established data standards;
• Prepare and segment mailing lists for fundraising appeals, advocacy campaigns, email communications, direct mail, digital advertising, and special events;
• Process and reconcile online donations and assist with accurate gift coding, campaign attribution, and constituent records;
• Generate recurring reports to support fundraising, communications, advocacy, and organizational operations;
• Assist with maintaining integrations between Salesforce, HubSpot, Donorbox, and other organizational software;
• Monitor data quality and report discrepancies or system issues to leadership;
• Maintain documentation for database procedures and assist with improving internal processes;
• Coordinate with software vendors and consultants to resolve technical issues as needed;
• Provide staff support related to CRM usage, data entry, list management, and reporting;
• Assist with event registration lists, attendee imports, volunteer records, and other constituent management needs;
• Support fundraising, communications, and advocacy projects through accurate data management, reporting, and campaign preparation;
• Provide general operational support and assist with other organizational projects as needed.

REQUIREMENTS

• Strong belief in and dedication to Illinois Right to Life's mission;
• Excellent organizational skills and exceptional attention to detail;
• Strong analytical and problem-solving abilities;
• Experience working with CRM, fundraising, marketing, or database software preferred;
• Proficiency with Microsoft Excel and/or Google Sheets;
• Ability to learn new software platforms quickly;
• Ability to independently manage multiple projects and deadlines;
• Experience with Salesforce, HubSpot, Donorbox, or similar CRM platforms preferred but not required;
• Experience working in a nonprofit or fundraising environment preferred;
• Strong judgment, professionalism, and receptiveness to leadership direction.
