Position Overview:
Cascadia Corporate’s team is seeking a collaborative, people-centered Office Coordinator to join our Seattle team. This full-time, on-site role is based in our Seattle, WA office and plays a vital part in fostering a positive, welcoming, and inclusive workplace culture. As the first point of contact for staff, vendors, clients, and visitors, the Office Coordinator sets the tone for a friendly, supportive, and service-oriented environment.

The Office Coordinator will provide administrative support to our hybrid-remote staff in Seattle and other locations. The position is full-time and required to be in the office during business hours, Monday-Friday 9:00am – 5:00pm.
Examples of everyday tasks may include:
- Warmly greeting office visitors, review Cascadia’s main line voicemails and respond promptly and courteously to email inquiries, reflecting a commitment to inclusivity and professional hospitality.
- Consistent positive attitude and professional demeanor, with a reputation for boosting team morale and contributing to a strong workplace culture.
- Manage complex scheduling, calendar coordination and book local, national and international travel and accommodations, all while maintaining flexibility, attention to detail, and a customer-service mindset.
- Deliver excellent customer service by responding promptly to Cascadia’s internal Administrative Request log, demonstrating responsiveness, emotional intelligence, and commitment to service.
- Set up and break down conference rooms before and after meetings, ensuring spaces are welcoming, functional, and ready to support meaningful collaboration.
- Plan and facilitate engaging in-person and virtual events that promote team connection, such as after-hours gatherings, offsite meetings, team-building activities, with attention to detail, inclusivity and participation.
- Oversee daily office operations ensuring an organized, stocked and tidy space that is welcoming for all.
- Perform administrative tasks such as note-taking, document editing and proofreading, internet research, and preparing professional correspondence and presentations, always maintaining accuracy, tone, and clarity appropriate for internal and external audiences.
- Handle purchasing for the office, vendor coordination, invoice processing, and expense reconciliation with accuracy, transparency, and fiscal responsibility.
- Support new hire onboarding with warmth and clarity, including providing office tours, setting up workspaces, and coordinating welcome activities that reflect Cascadia’s values and workplace culture.
This position may provide support and coverage for roles across the Corporate Team as needed.
Qualifications:
A demonstrated ability to successfully perform the above listed responsibilities typically includes:
- A minimum of 2 years of experience in an administrative, office coordination, or support role, ideally in a team-oriented or customer-focused front-facing environment.
- Demonstrated emotional intelligence and interpersonal skills, with the ability to build positive working relationships across all levels of the organization.
- Experience with in-person event logistics including catering, games/activities, décor and space planning.
- Strong written and verbal communication skills, with a friendly and professional tone in both internal and external interactions.
- Customer service mindset with a proactive and helpful attitude toward solving problems and supporting coworkers.
- Ability to work effectively in a collaborative team environment, contributing to a culture of trust, transparency, and mutual respect.
- Proven track record of handling confidential and sensitive information with discretion and integrity.
- Cultural awareness and inclusivity, with a demonstrated commitment to contributing to a welcoming and respectful workplace.

- A valid driver’s license and ability to drive to perform work tasks as needed.
