Girls on the Run is a physical activity-based positive youth development program (PA-PYD) designed to develop and enhance girls’ social, psychological, and physical competencies to successfully navigate life experiences. Girls on the Run believes that all girls and communities should have access to our programs. Girls on the Run of the Greater Chesapeake was founded in 2005 and has positively impacted the lives of more than 20,000 in the Chesapeake area, including sites in Anne Arundel County, Baltimore City, Baltimore County, Calvert, Queen Anne’s, Talbot, Kent, Caroline, Dorchester, Worchester, Somerset, and Wicomico counties.

Position Summary

Reporting to and partnering with the Executive Director, the Operations & 5K Coordinator is responsible for supporting Girls on the Run of the Greater Chesapeake throughout our region by coordinating program and 5K logistics, development initiatives, volunteer recruitment, and internal operational and office management activities that promote the growth of the council.

The Operations & 5K Coordinator must possess a passion for and commitment to the mission and vision of Girls on the Run, improving the lives and opportunities of girls in third through eighth grades, and effectively and persuasively communicate the core values and impact of the GOTR program with confidence. This individual must be creative, highly detail-oriented, and able to manage multiple, competing priorities while providing an exceptional level of customer service to our partners and volunteers and working collaboratively as a key member of a small, dedicated team.

Responsibilities

Financial

·      Oversee day-to-day processing of accounts receivable and payable using QuickBooks and Pinwheel, producing reports as requested. Ensure that accounting requests are resolved and communicated in a timely manner to internal and external parties

·      Develop, maintain, and monitor all fundraising and accounting systems and procedures capturing all pledges, billings, and receipts and for the recording of all revenue transactions, recommend and implement improvements to systems

·      Assist with oversight of organizational insurance policies, and provide recommendations for changes

Council, Program and Office Administration and Support

·      Manage Pinwheel in coordination with other staff

·      Assist in the preparation of mass mailings utilizing email marketing software

·      Provide administrative support to GOTRGC Executive Director, Board of Directors, ad-hoc teams, and committees

·      Track board member documentation

·      Manage GOTRGC Council data and prepare the Annual Financial Summary and Season Impact Reports for Girls on the Run International

·      Assist in compiling budget, scholarship, participant, and other organizational data for reports and communications to grantors, other donors and stakeholders

·      Coordinate the maintenance of organization's website ensuring that all its information is accurate and updated regularly

·      Maintain and monitor inventory of all equipment and material

·      Maintain council merchandise inventory

·      Assist with packing and distribution of materials for program, 5K, and other events

·      Conduct intake and triage of general volunteer inquiries

·      Conduct seasonal visits to program sites to ensure effective program delivery

5K

·      Create, coordinate, and lead regular 5K committee meetings to successfully host two 5K events (fall, spring)

·      Coordinate relationship with 5K management company

·      Ensure excellent 5K-related communication among all team members

·      Secure needed venue, goods, services, and vendor partnerships for 5K events in conjunction with the Executive Director

·      Create and distribute all needed planning timelines, and ensure team/management company/committees are on schedule

·      Manage event registration, including set-up of the online registration form and race day paper registration

·      Maintain 5K budget and track statistics for the day (e.g., number of participants, shirts, etc. )

·      Organize packet pick-up prior to 5K

·      Partner with other GOTRGC team members to ensure effective 5K-related communication occurs with Girls on the Run coaches, parents, volunteer groups, and other stakeholders

·      Oversee volunteer leads on 5K day (volunteer check-in, t-shirt distribution, direction to stations, etc.), ensuring a positive experience for volunteers and participants

·      Serve as the primary contact for all inquiries related to the Girls on the Run 5Ks

Knowledge, Skills, and Abilities Required

·      Education or work experience in youth development and/or nonprofits

·      Bachelor’s degree preferred in a related field

·      Strong sense of integrity

·      Experience in recruiting and supporting volunteers

·      Experience in tracking revenue and expenses

·      Excellent verbal and written communications skills

·      Research and procurement skills for technology, office supplies, and equipment, etc.

·      Experience in a fast-paced, goal-driven environment

·      Readiness to embrace the work of inclusion, diversity, equity, and access

·      Ability to multitask, prioritize and make efficient decisions

·      Reliable transportation

·      Flexible and adaptable

·      Ability to lift/carry up to 50 pounds occasionally

·      Proactive, positive, can-do attitude

Preferred Qualifications

·      Bi-lingual Spanish is a plus

·      A well-developed set of “people person” skills

·      Creative and flexible approach to problem-solving

·      Experience with Microsoft 365, Google Workplace, and general comfort with learning new software

·      Ability to work independently, yet know when to seek help

This position is part-time, with a mix of in-office (Annapolis, MD) and remote work. Girls on the Run of the Greater Chesapeake is offering a compensation range of $19 - $21 hourly, depending on experience. Vacation blackout periods may apply to this position during key times of the year, usually in September, December, February, and April. Occasional evening and weekend work is required.
