Partners for Health Foundation in Montclair, New Jersey is a community-based organization that works toward a vision of thriving communities ensuring health for all. We partner with community organizations and like-minded funders to advance health equity through advocacy, policy and systems change, and increased access to healthcare services and other resources.
Position Summary
Partners for Health Foundation is seeking a part-time Grants Coordinator to join our small, dedicated team. Reporting to the Program Director, the Grants Coordinator contributes to the mission through the programmatic, administrative and communications work of the Foundation.
The Grants Coordinator manages the daily operational and scheduling aspects of the grantmaking process; works closely with the Program Director to manage all grant proposals, Board meeting materials, and grantee-related correspondence; and oversees administration of the grants management system (Foundant).
This is a hybrid position, however candidates must be within commuting range to Montclair, New Jersey, for some in-office meetings and work.
Key Responsibilities
- Develop proficiency with Foundant Grants Management Software to monitor progress of applicants and grantees throughout the grant cycle.
- Provide administrative support for preparation of grants meetings; support Board packet preparation; manage the logistics of board meetings, grants committee meetings, and other events; prepare and distribute meeting materials; prepare minutes.
- Assist with preparing grant agreements and monitoring contracts, schedule of disbursements, reports and related correspondence upon approval of the grant award.
- Draft and send correspondence to applicants and grantees.
- Support preparation of annual grants budget, and update grants budget throughout the year to reflect grantmaking activity.
- Participate in Diversity, Equity and Inclusion Team meetings and other educational programs to understand the context of the Foundation’s work.
- Research grantmaking areas of interest, and software options for foundation operations such as CRM, mapping software, and others.
- Maintain electronic and physical files of all grant awards.
- Work with Executive Director and Program Director to develop and update content for PFH website.
- Assist in maintaining Partners for Health social media and online presence to engage grantees, non-profit agencies, and the community at large.
Qualifications
- Three or more years of relevant work experience and a bachelor’s degree or equivalent.
- A strong commitment to advancing racial equity, inclusion, and social justice.
- Ability to work independently and as a team member.
- Excellent writing, editing, and analytical skills with a focus on accuracy; ability to identify, collect, organize and synthesize information from various data sources.
- Strong listening, communication, and interpersonal skills.
- Effective project management skills, including the ability to coordinate, organize, prioritize, and execute tasks; ability to meet deadlines.
- Understanding of, and alignment with, the mission and values of Partners for Health.
- Ability to carry out responsibilities with discretion and diplomacy.
- Familiarity with social media and media management tools.
- Excellent technology and computer skills, including command of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Zoom.
- A collegial spirit in sharing ideas, asking questions, and receiving feedback.
Preferred
- Relevant work experience in public health, food insecurity, anti-poverty, racial equity, systems change, public policy, community organizing and/or related areas.
- Nonprofit, philanthropic or government experience.
- Knowledge of Essex and/or Passaic Counties.
- Familiarity with WordPress and Foundant a plus.
Time Commitment
- 24 hours per week; able to attend 8-10 evening meetings or events per year.
