Job Description

We are seeking a detail-oriented, self-motivated, and entrepreneurial-minded Professional Programs Coordinator to manage the planning, execution, and growth of our professional training programs. This remote, part-time contract role (24–28 hours per week) offers an opportunity to contribute to meaningful, global work supporting healthcare professionals and families.

Approximately 75% of your responsibilities will focus on our flagship Mindfulness-Based Childbirth and Parenting (MBCP) Teacher Training. The remaining 25% of your time will support shorter professional development courses, retreats, and workshops; alumni services (including mentoring and teacher certification); faculty coordination; marketing support; and other organizational needs.

Program Planning

  • Collaborate with MBPF faculty and administrative teams to schedule programs and events.
  • Follow and refine workflow processes to set up new programs and update current systems.
  • Coordinate with the Director of Operations to ensure smooth program launch and delivery.
  • Assist the CFO in establishing and managing annual program budgets.
  • Co-create and support marketing strategies, including social media posts, website updates, advertising, and newsletters.
  • Anticipate and coordinate accommodations for faculty and participants, including technical, linguistic, cultural, identity-related, or accessibility support.

Program Execution

  • Manage the application and recruitment process for all professional training programs.
  • Co-host information sessions, communicate with applicants, and monitor faculty readiness.
  • Manage financial processes including payments, scholarships, and financial aid.
  • Administer online learning environments: update resources, edit Wix pages, manage Ruzuku classrooms, set up Zoom sessions, and troubleshoot automation tools like Zapier.
  • Collect and analyze post-course evaluations and track student certification progress.
  • Support live classes by creating breakout rooms, monitoring attendance, answering technical questions, and uploading recordings.
  • Respond to inquiries from prospective and current students, alumni, and the general public.
  • Manage alumni services such as professional development events, retreats, mentoring, certification support, and a bi-monthly MBCP Teacher newsletter (via MailChimp).
  • Attend and/or lead regular and ad-hoc meetings with operations, faculty, and the broader MBPF team.

Program Growth

Strategic Partnerships & Outreach

  • Build and maintain relationships with universities, hospitals, and professional organizations to increase visibility and enrollment.
  • Identify and pursue opportunities for accreditation or continuing education (CEU) credits.
  • Facilitate collaborations with other mindfulness-based organizations and researchers.

Alumni Engagement & Community Building

  • Develop and manage alumni engagement strategies (e.g., networking, peer mentoring, professional development).
  • Coordinate referral programs to encourage alumni to bring in new participants.
  • Explore the creation of an MBCP Alumni Advisory Council to guide future program development.

Marketing & Content Strategy

  • Support the development of alumni testimonials, case studies, and success stories.
  • Collaborate with faculty to create thought leadership content such as blog posts, guest articles, and conference presentations.
  • Work with the communications team to optimize website content, email campaigns, and social media outreach.

Data-Driven Growth Strategies

  • Monitor and evaluate key performance indicators (KPIs) related to enrollment, retention, and engagement.
  • Use data insights to improve program accessibility and participant experience.
  • Conduct competitor analysis to ensure innovation and continued relevance.

Diversification of Revenue Streams

  • Explore alternative program formats (e.g., shorter intensives, hybrid offerings) and tiered pricing models.
  • Research grants, sponsorships, and donor-funded scholarship opportunities.
  • Identify potential corporate partnerships in maternity and healthcare sectors.

Qualifications and Background

We’re looking for someone with the following experience and attributes:

  • Minimum 2 years of program management experience with exceptional attention to detail.
  • Excellent written and verbal communication skills.
  • Self-directed and entrepreneurial, with the ability to work independently and collaboratively.
  • Comfortable navigating a fast-paced environment with agility and creativity.
  • Familiarity with healthcare, perinatal, or mental health sectors is preferred.
  • Passion for supporting new families and contributing to intergenerational change.
  • Commitment to diversity, equity, and inclusion (DEI), with an understanding of accessible program design.
  • Experience using online learning platforms (e.g., Ruzuku, Moodle, Thinkific).
  • Proficient in tools such as Google Workspace, Zoom, JotForm, Canva, Wix, MailChimp, Zapier.
  • Skilled in online community management and virtual learning facilitation.
  • Experience with outreach, recruitment, and enrollment for educational programs.
  • Ability to design and implement marketing strategies, especially email and social media campaigns.
  • Strong storytelling and content creation abilities to communicate program impact.
  • Experience tracking and analyzing KPIs like enrollment, retention, and engagement.
  • Comfort synthesizing qualitative and quantitative feedback from evaluations.
  • Familiarity with basic data visualization (e.g., Google Sheets, Tableau).
