JOB TITLE: Program Assistant

STATUS: Non-Exempt

REPORTS TO: Training Program Coordinator or Business Operations Coordinator

RESPONSIBILITIES:

General

  • Advance the mission and vision of ICDL.
  • Provide customer support for ICDL.
  • Maintain the confidentiality of ICDL and all its various clients, customers, and course participants
  • Work in collaboration with all ICDL employees and contractors.
  • Must be able to work independently and without regular supervision.
  • Must be able to work from a home office with stable internet access and on-site at our DIR Institute in Livingston, NJ
  • Must be comfortable with technology and eager to learn new platforms
  • Dress professionally when in ICDL meetings or events, either in-person or online

General Administrative Support:

  • Provide program support for the overall operations of ICDL, including the DIRFLoortime Training Program, DIR Institute and the Continuing Education Department
  • Respond to emails and other communications from both internal and external individual and entities in a timely fashion
  • Provide scheduling assistance and administrative support.
  • Set up ICDL online platforms for courses (Moodle, Google Docs, Zoom, etc)
  • Assist in preparing for meetings and/or conferences.
  • Take meeting minutes as needed.
  • Create, organize and maintain general electronic files as required.
  • Use Google Suite and Microsoft Office programs efficiently.
  • Perform waiting to engage on-call coverage of the ICDL help desk on certain days of the week including some weekends
  • Positively contribute to the day-to-day functioning of the organization

DIRFloortime Training Program

  • Conduct day-to-day administrative functions effectively and efficiently including responding to emails and phone/Zoom calls as needed
  • Keep track of all the offered DIRFloortime courses.
  • Assist in providing technical support to DIR®Floortime Training Leaders and students including responding to the help desk
  • Organize and keep track of miscellaneous projects such as curriculum translation
  • Contribute to team effort by accomplishing related results as needed.

Continuing Education (CE) Department

  • Check attendance and send out certificates for the Training Program Certificate Courses
  • Research CE opportunities that would contribute to the growth of ICDL
  • Assist in coordinating ICDL Licensed courses.
  • Support the CE Coordinator in miscellaneous tasks and projects

DIR Institute

  • Track mentoring assignments
  • Provide support with miscellaneous tasks during our intensives at the DIR Institute in Livingston, NJ.

General Human Resource Practices

  • This is a hybrid role, combining remote work with in-person days at our DIR Institute in Livingston, NJ.
  • The employee must be a resident of NJ or NY. Any changes to the employee’s residence must be communicated with the supervisor ahead of time. ICDL is only an employer in certain states.
  • The regular work time for this position is Mondays through Thursdays or Tuesdays through Fridays, between 9:00 AM and 2:00 PM US ET unless other arrangements are specifically made with the supervisor.
  • Work may include weekend coverage of the ICDL help desk
  • All work meetings and events should be recorded on the employee’s company calendar
  • Work locations must be appropriate for professional meetings live-online and must be conducive to productive professional work
  • All company policies must be followed

QUALIFICATIONS:

  • Embrace the mission, philosophy and values of the ICDL
  • Excellent communication, interpersonal and organizational skills
  • A Bachelor’s degree is preferred; however, candidates with an Associate degree and at least 3 years of relevant professional experience—or those without a college degree but with substantial experience—will also be considered.
  • Must be a self-starter able to work independently and find solutions to day to day issues
  • Must be energetic, self-motivated and able to work as part of an organizational team, and be culturally humble.
  • Excellent interpersonal communication is a must for this position.
  • Computer literate, preferably Microsoft Office and comfortable with web-based systems.
  • Bi-lingual a plus

HOURLY SALARY RANGE: $26 - $30 an hour
