POSITION OVERVIEW:

Under the supervision of the Director of Individual Giving and Events, the Prospect Manager is responsible for: the identification, research, and tracking of major gift prospects; planning and logistical implementation of major gift cultivation events including organizational tours, presentations, and salons; general list development, segmentation and reporting; major donor customer service; and creation of prospect briefing materials for organizational leadership. The position’s primary focus will be in the areas of prospect research, portfolio coordination, and moves management on behalf of the Associate Director of Major Gifts, Director of Individual Giving and Events, the Sr. Director of Development, the Chief Advancement Officer, and the CEO.

As a member of the Individual Giving and Events team, the Prospect Manager supports the strategic cultivation and stewardship of individual prospects key to the successful growth in relationships and fundraising for SFAF. The Prospect Manager will be a collaborative team member providing important input into prospect strategies, major gift processes and procedures, and creation of cultivation and stewardship opportunities across the spectrum of SFAF development fundraising efforts. 

ESSENTIAL DUTIES AND RESPONSIBILITIES: 

  • Under the supervision of the Director of Individual Giving and Events, and in partnership with the Associate Director of Major Gifts, create customized individual prospect lists for priority projects (including mid and major gift portfolios).
  • Create Research Profiles in a variety of written formats (long and short) drawing on a range of external sources to provide insight that adds genuine value to solicitation and stewardship plans.
  • On a weekly basis, work with key development and AIDS/Lifecycle staff to create high-level cultivation, solicitation, and stewardship outreach lists for SFAF leadership staff.
  • Participate in regular prospect and pipeline meetings with the Director of Individual Giving and Events, the Sr. Director of Development, the Associate Director of Major Gifts, and others as needed.
  • Provide logistical and planning support for major and planned gift engagement activities and events (i.e. tours, events).
  • Run select lists and names through SFAF philanthropic screening tools (i.e. DonorSearch) to assist development staff in identifying appropriate individual prospects for cultivation, solicitation, and stewardship.
  • Help to manage internal systems for the storage/deletion of prospect research,
  • Provide donor customer service support for major gift and planned giving prospects.
  • Maintain portfolio and moves management tracking information in Salesforce NPSP.
  • Participate in team meetings, staff meetings, and all major organizational events
  • Other duties as assigned

ESSENTIAL QUALIFICATIONS: 

  • Interpersonal Skills: Self-directed, performance-oriented individual who has demonstrated initiative and achievement of goals. Understands best-practices in individual giving, prospect research, and prospect management.
  • Communication Skills: Exceptional verbal and written communications skills. Demonstrated ability to write and edit persuasive materials including prospect research reports, presentation scripts, Powerpoint decks and other collateral. 
  • Reporting: Familiar with CRM reporting, conducting background research, analyzing donor prospects, and crafting engagement strategies.
  • Software Skills: High level of proficiency in Windows operating systems, Microsoft Office (Word, Excel, PowerPoint, etc.), and experience with constituent relationship management (CRM) systems (e.g., Salesforce, Blackbaud or similar).
  • Organizational Skills: Excellent organizational skills; ability to effectively coordinate and prioritize workload.

PHYSICAL REQUIREMENTS AND WORK ENVIRONMENTS:

Skill in operating office equipment such as a personal computer, copy machine and telephone system. Ability to perform routine bending, stooping, twisting, and reaching. The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. EDUCATION AND EXPERIENCE: 

  • Bachelor's degree (preferred) or high school diploma or equivalent with minimum two years fundraising, administrative/CRM, or prospect research experience. 
  • Minimum of 1-3 years’ experience (3 years’ preferred) in individual giving, donor services, major gifts/planned giving, prospect research and/or prospect management.
  • Must demonstrate a strong detail orientation.
  • Must demonstrate strong interpersonal and relationship building skills.
  • Experience in working with teams of staff and/or volunteers.
  • Experience creating fundraising or presentation materials.

This position will have access to protected health information (PHI) and may only access, use or disclose the minimum information necessary to perform their designated role on behalf of San Francisco AIDS Foundation, regardless of the extent of access provided.

WORK ENVIRONMENT:

This position is primarily located at 1035 Market Street, San Francisco, however may be conducted from a remote location with periodic travel to SFAF office locations or off-site meetings as required by the job. The position may require irregular and extended hours, including nights, early mornings and weekends. This position requires participation in agency events as staff, which includes but is not limited to AIDS/LifeCycle, a 7-day traveling event that involves camping outdoors.
