Job Summary
We are seeking a professional, high-energy Front Desk Receptionist to serve as the face of our New York City office. In this role, you will be the primary point of contact for guests, manage the daily flow of the reception area, and provide critical administrative support. The ideal candidate is organized, tech-savvy, and thrives in a fast-paced environment where providing white-glove customer service is the standard. The ideal applicant must be reliable and consistently produce high-quality work.
Responsibilities
Visitor Management & Security: Greet and check in all guests, ensuring a welcoming and professional first impression. Maintain the office security list and coordinate with building security to grant visitor access.
Communication Hub: Manage a multi-line phone system; answering, screening, and forwarding calls with precision. Responsible for monitoring and responding to general office voicemails.
Executive & Administrative Support: Proactively manage and schedule meetings and conference room calendars.
- Provide high-level administrative backup for Executive Assistants during their absence.
- Handle general tasks including scanning, copying, and document preparation.
Logistics & Office Coordination:
- Oversee visiting staff logistics by coordinating temporary office space and workstations.
- Manage and audit porter cleaning schedules to ensure the office remains pristine.
- Maintain a tidy, organized, and fully stocked reception area.
Qualifications
- Experience: 1–2 years of experience in an administrative or receptionist role (corporate environment preferred).
- Education: Associate’s degree (minimum) required.
- Technical Skills: Proficiency in Google Suite (Gmail, Docs, Sheets, and heavy Calendar management). Comfortable navigating multi-line phone systems.
- Communication: Exceptional verbal and written communication skills with a polished, professional demeanor.
- Soft Skills: Strong multitasking abilities; you can pivot between greeting a guest and managing a calendar without losing focus.
