Job Description
The Scheduling & Operations Manager for Bob Casey for Senate will assist in managing the Senator's campaign schedule and coordinate with our Official Office scheduler to ensure cohesion across the Senator's schedule. They will also assist on Operations responsibilities including office management, management of campaign supply systems and tracking, and overall campaign events and operations including assisting on logistics and planning of various campaign events and activities
The Campaign Scheduling & Operations Manager will work closely with the Campaign Manager to ensure efficient scheduling, effective communication, and seamless execution of the campaign's events, engagements, and operations.
Responsibilities:
- Schedule Management:
- In the off-year, track and respond to all incoming scheduling requests on behalf of the campaign.
- Assist the Campaign Manager in maintaining and managing the Senator's daily, weekly, and monthly campaign schedule in coordination with the rest of the campaign team.
- Coordinate and schedule meetings, campaign events, and campaign appearances for the Senator.
- Proactively identify and resolve scheduling conflicts while prioritizing important engagements.
- Communicate with internal staff, external stakeholders, and more to coordinate scheduling logistics.
- Coordinate travel arrangements, accommodations, and other logistics for the campaign.
- Maintain and ensure the completion of preparatory materials.
- Operations Assistance:
- Assist campaign management with operations needs such as supply system creation and execution, maintaining general office needs, and other logistical aspects of the campaign
- Oversee efficient office operations, including document management
- Coordinate conference calls and Zoom meetings with consulting teams and manage internal, cross-departmental scheduling
- Communication and Liaison
- In the off-year, serve as a primary point of contact for scheduling-related inquiries and requests from the Senator's official staff, campaign staff, stakeholders, and external partners.
- Liaise with the Senator's official staff to gather information and prepare materials/memos for scheduled events and meetings.
- Maintain open lines of communication with internal teams to ensure everyone is informed of schedule updates and changes.
- Administrative Support
- Assist with various administrative tasks, such as drafting correspondence, preparing meeting agendas, and organizing campaign related materials.
- Maintain an organized and up to date calendar system ensuring accuracy and attention to detail.
Qualifications:
- 1+ cycle(s) of campaign or equivalent experience (“cycle” can mean primaries, specials, etc.);
- Prior experience in political campaigns, event planning, scheduling, or a similar role is highly desirable.
- Strong organizational skills with exceptional attention to detail and the ability to handle multiple projects simultaneously.
- Proficiency in using scheduling software tools.
- Strong written and grammatical skills;
- Strong communication and interpersonal skills;
- Attention to detail and enthusiasm for data-driven processes;
- Dedication to being a team player and trying new things;
- Access to cell phone and laptop.
Logistics:
- Level: Coordinator/Manager
- Salary Band: $4750-$5500 per month, commensurate with experience
- Location: Philadelphia, PA
- Benefits: Medical, dental vision plan at no premium upon meeting plan eligibility requirements
- Leave: Paid time off will be available per Campaign policy.
- Hours: Full time position. This position's schedule will vary based on the needs of the campaign and point in the cycle, and is likely to require evening and weekend work over the course of the election cycle.
