ROLE PURPOSE

The Senior Executive Assistant provides high-level administrative and operational support at the center of the Executive Office, working in close partnership with the Executive Assistant and reporting into the Chief of Staff. This is primarily an in-person role based at the GIIN's Lower Manhattan office, with an option to work remotely two days of the week. This is an excellent opportunity for a senior-level Executive Assistant seeking a dynamic role with meaningful responsibility, exposure, and room for growth.

This role supports the Executive Office, currently partnering with a team of four executives, and is responsible for ensuring the effective day-to-day functioning across executive priorities. The Senior Executive Assistant will proactively manage complex calendars, coordinate travel and meetings, and help executives prioritize their time to maximize impact. They will serve as a key partner in implementing executive preferences and decisions, maintaining strong communication and alignment across the Executive Office.

The Senior Executive Assistant will work in close coordination with, and provide day-to-day direction to, the Executive Assistant—helping prioritize workflows, delegate tasks, and ensure consistent, high-quality support across the Executive Office. This role also partners closely with the Chief of Staff to align on priorities and execution.

In addition, the role plays a central part in maintaining strong board relations by supporting scheduling, materials coordination, board platform management, and other administrative needs related to Board engagement.

The Senior Executive Assistant is responsible for ensuring smooth executive operations, including expense management, meeting logistics (virtual and in-person), and support for key internal and external relationships.

Beyond core executive support, this role will take on special projects and contribute to broader office operations as needed, including ad hoc office management needs, staff engagement activities, and other discrete initiatives. The individual will be an active contributor to a collaborative, team-oriented office environment.

CORE COMPETENCIES AND POSITION SCOPE

Responsibilities Include

Executive Office Support & Coordination

  • Provide high-level administrative support to executives, including complex calendar management, correspondence, document drafting/editing, expense reporting, and meeting preparation (agendas, materials, notes).
  • Serve as a central point of coordination across the Executive Office, driving alignment on priorities, schedules, and follow-ups.
  • Maintain effective gatekeeping practices to prioritize executive time and ensure schedules are optimized and adhered to.
  • Communicate proactively with executives, the Chief of Staff, and key stakeholders regarding scheduling changes, upcoming commitments, and competing priorities.
  • Support the research, prioritization, and follow-up of incoming issues and requests, including those of a sensitive or confidential nature.

Executive Assistant Coordination & Workflow Management

  • Work in close partnership with the Executive Assistant (EA) to manage workflows, prioritize tasks, and provide seamless support across the Executive Office.
  • Provide day-to-day direction to the EA, delegating work as appropriate and supporting strong execution and professional development.
  • Collaborate with the EA to resolve scheduling conflicts and competing priorities in alignment with Executive Office objectives.

Board Relations & Governance Support

  • Support preparation for and execution of Board of Directors activities, including scheduling, materials coordination, and meeting logistics.
  • Manage board-related administrative processes, including board platform management and documentation, ensuring accuracy, efficiency, and strict confidentiality.
  • Help maintain and improve processes related to Board engagement and governance workflows.

Operations, Systems & Process Improvement

  • Manage and track legal workflows and contract processes end-to-end, supporting timely progress, stakeholder coordination, and strong documentation practices.
  • Identify and implement process improvements across administrative, legal, and operational workflows.
  • Maintain strong data hygiene and organization across systems, including SharePoint, Salesforce, and Outlook (calendars and contacts).

Communications & Relationship Management

  • Draft and prepare high-quality business communications, including memos, emails, letters, and other documents.
  • Support executive communications with key internal and external stakeholders, including donors, partners, Board members, and their teams, as directed.
  • Uphold the highest standards of professionalism, discretion, and confidentiality in all interactions.

Special Projects, Events & Office Support

  • Lead or support special projects on behalf of the Executive Office and Chief of Staff, often involving cross-functional coordination and sensitive information.
  • Plan and execute events and initiatives, including Board meetings, staff engagements, and internal gatherings.
  • Support office operations and management needs as required.

General

  • Exercise strong judgment to determine when to act independently versus when to escalate.

Other duties as needed.

THE SUCCESSFUL CANDIDATE

The ideal candidate has 5–7+ years of experience supporting senior executives, preferably in a fast-paced or complex organizational setting. They have demonstrated success managing multiple priorities and stakeholders, exercising sound judgment under pressure, and handling sensitive information with the utmost professionalism and confidentiality. Experience supporting multiple executives and exposure to Board or governance processes is strongly preferred.

This individual is a highly organized and detail-oriented operator who can anticipate needs, solve problems pragmatically, and drive work forward independently. They are equally comfortable taking initiative and seeking input when needed, and can navigate ambiguity while maintaining strong communication and follow-through.

They bring strong interpersonal and communication skills, with the ability to engage effectively with a wide range of stakeholders, including senior leaders, Board members, and external partners. They are calm, adaptable, and solutions-oriented, with a high bar for quality and execution.

This role reports to the Chief of Staff, with close day-to-day collaboration with the Executive Assistant and Executive Team.

Qualifications

  • Minimum of 5–7 years of experience providing direct administrative support to senior executives, preferably at the C-suite level and in a fast-paced or complex environment.
  • Demonstrated ability to manage multiple priorities, stakeholders, and competing demands with strong judgment, discretion, and attention to detail.
  • Experience supporting multiple executives and coordinating across teams; exposure to Board or governance processes is a plus.
  • Strong organizational and project management skills, with the ability to track and advance workstreams independently.
  • Excellent interpersonal and communication skills, with experience building relationships with internal and external stakeholders, including senior leaders, partners, and service providers.
  • Proactive, solutions-oriented mindset, with the ability to anticipate needs, identify opportunities for improvement, and drive work forward.
  • High degree of professionalism and ability to handle sensitive and confidential information with discretion.
  • Comfortable working both independently and collaboratively in a small, team-oriented environment.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint); familiarity with tools such as SharePoint, Salesforce, Slack, and Asana is a plus, along with a willingness to learn new systems.
  • Associate's degree or higher preferred.

LOCATION & WORK ELIGIBILITY

This position will be based in our New York City office year-round and is not eligible to participate in the GIIN's hybrid semester model, though candidates may opt to work up to two days remotely each week.

Candidates must possess valid authorization to work in the United States that does not require employment visa sponsorship. For example, possessing U.S. Citizenship or Lawful Permanent Residency (Green Card).

Compensation

The GIIN is committed to pay equity. The salary range for this role is between $80,000 and $85,000 per annum, with exact salary depending on qualification, experience, and non-profit market alignment, with an excellent benefits package.
