JCC Association of North America is hiring a Marketing Project Manager to oversee all aspects of project management for a dynamic and busy marketing and communications team of five. JCC Association’s marketing team raises the profile of JCC Association to internal and external audiences and is responsible for the voice and face of all programs, services, and branding initiatives. Working cooperatively with program and content creators and the director of conferences and events, this team also manages the production of all materials for the organization’s major events. The marketing team is in high demand and requires strong coordination to manage a growing volume of project requests.

Our success relies on a strong Marketing Project Manager who serves a vital function as the team’s primary coordinator—serving as the marketing liaison to all programs, departments, freelancers, and vendors, monitoring and prioritizing marketing requests, assigning tasks to team members, coordinating project timelines, communicating deliverables and deadlines, and ensuring all projects remain on task and on budget.

The Marketing Project Manager (MPM) also advises the CMO on workload concerns or risk issues, budget requirements and discrepancies, resource needs, and all issues affecting the team’s abilities to meet the organization’s marketing and communication goals.

At their discretion, the MPM convenes team members throughout the progress of the project or event production to monitor progress, elevate concerns, or align individuals within the marketing team and/or other departments. The MPM also evaluates completed projects' success and identifies areas for improvement in future projects or processes related to projects.

Ideal candidates specialize in planning, managing, executing, and organizing projects. They are highly organized, have experience leading and driving integrated processes with effective results, thrive in busy environments, and can work across multiple projects simultaneously. 

Primary Responsibilities

·        Plan, manage, and prioritize a high volume of marketing requests and projects, tracking progress and setting deadlines for key steps.

·        Coordinate client meetings to identify and define project scope, requirements, objectives, deliverables, and timeline.

·        Schedule and monitor marketing projects and processes to keep all team members on track

·        Maintain marketing calendar and prepare reports for weekly team meetings to ensure projects are on track and on budget

·        Liaise with JCC Association staff to effectively lead and manage the implementation of marketing projects, including resource and project planning, execution, and internal status updates

·        Own project management software (Workamajig) to: manage client portal, create and update project intake forms, field all incoming project requests, monitor workflow, and assist with troubleshooting.

·        Vendor Management: define selection criteria, identify potential vendors, request bids, send bids for review, award contracts, and liaise with vendors to support the production of in-house design and shipping methods.

·        Invoice Management: track payments in the invoice tracker spreadsheet, update vendor folders, and submit all necessary paperwork to accounting for processing.

·        Eye for detail and strong analytical skills; organized, forward-thinking, proactive, professional, and comfortable in a fast-paced environment

·        Possess a positive, “can-do” attitude and outstanding interpersonal skills and experience dealing with individuals at all levels of an organization working effectively and efficiently, independently, and collaboratively, all as part of a diverse team within a larger agency

·        Have an eagle eye for project details and an interest in the big-picture agenda of the organization

·        Must be technology-forward and willing to learn and engage with different platforms in use within the organization

·        Be proficient with Microsoft Office software, including Outlook, Word, Excel, SharePoint, PowerPoint, and Teams

·        Possess a working knowledge of Workamajig (or other project management platforms)

Mandatory qualifications:

·        5-7 years prior experience in a project management role with a proven track record of success

·        Bachelor’s degree in a related field

·        This is an NYC-based, full-time position; minimal travel required
