Position Overview
The Lincoln Institute of Land Policy is hiring an Administrative Manager to join the Babbitt Center for Land and Water Policy in Phoenix, Arizona. This individual serves as the lead administrative staff person for the Babbitt Center. This position has primary responsibility for contract development and financial reporting and management of contracts and grants, as well as cash and expenditure oversights. The individual in this position works closely with the Babbitt Center Director and Associate Director on Babbitt Center budget development and approval, budget tracking and program funding amendments, and support for external development (fundraising/partnership) efforts. Additional responsibilities include working with the events management team on Babbitt Center events.
This is a full-time position @ 37.5 hours/week located in Phoenix, AZ that reports to the Director, Babbitt Center for Land and Water Policy.
What You’ll Do
- Work closely with the Director of Finance, Director of Operations and Learning, and in general liaise with the Lincoln Institute’s finance and operations staff to implement accounting and financial management policies and procedures for Babbitt Center administration
- Coordinate budget processes and monitor spending
- Coordinate grant application processes with the Babbitt Center staff and the Partnerships and Resource Development Team
- Assist Babbitt Center team and the events manager in planning and coordination of convenings and workshops locally and regionally, ranging in size from 6-100+ participants
- Work with Publications, Communications Learning Design staff to continue developing the Center’s communications process, including developing and maintaining a database of interested practitioners and stakeholders
- Assist in the creation of marketing materials to promote and disseminate Babbitt Center’s mission
- Coordinate application and selection processes for participation in intern and fellowship programs run by the Center
- Manage Babbitt Center folders on Sharepoint and coordinate other needed IT support for the Babbitt Center
- Develop and track contracts for deliverables and payments and other administrative matters
- Assist with training of Phoenix office team members on the use of the financial management systems
- Supervise orderliness and cleanliness of reception area and help reset meeting rooms after Babbitt Center meetings
- Represent the organization and assist in maintaining relationships with contacts, including board members, funders, fellows, Lincoln Institute team members, government officials and non-profit leaders
- Schedule Babbitt Center staff meetings and take notes
- Provide additional office management, administrative, editorial and communications support as requested
- Travel up to 5%
What You’ll Do – Assist with Babbitt Center Communications Strategy (Depending on Skills and Interests of Candidate):
- Coordinate publication editing and production services as needed in collaboration with the Lincoln Institute’s Publications, Communications, Learning Design (PCLD) staff
- Oversee writing and distribution of periodic updates; drafting Babbitt Center social media content for PCLD to post; coordinating design and release of Center publications; coordinating development and ongoing updates to the website
What You’ll Need
- BA and at least 2-3 years of work experience in a fast-paced environment or equivalent combination of education, training, and experience
- Rigorous attention to detail with the ability to maintain perspective and interest in the big picture
- Database management and financial / accounting program management experience
- Highly organized; strong project management and problem-solving skills
- Writing and editing skills
- Good question asker; curious; outgoing
- Self-starter; able to work independently
- Effective time management skills; able to prioritize and multi-task; highly flexible
- Strong interpersonal skills and professionalism including an excellent phone manner
- Good judgment; able to handle information with discretion
- Web and communications experience highly desired
Compensation Overview
The salary market range for this role is $83K-$86K depending on level of education and years of experience.
