What You’ll Do

The Senior Contracts Associate is an internal liaison between departments. They will manage two functions: contract management and organization compliance. The Associate should have a detailed understanding of the compliance liability, billing, invoice, and contracts process at the Roosevelt Institute as well as the ability to disseminate finance policies and procedures to the Roosevelt staff.. Their role is largely to serve as a liaison for the department's contractual needs within the confines of financial auditory processes, to identify and strategize improvements to operational policies and processes, and to utilize tracking systems to manage workload.

The Senior Contracts Associate reports to the Director of Systems. This is a nonmanagement, unionized, individual contributor role.

Contract Management and Invoice Processing:

  • Process contracts and invoices for 2–3 departments across the organization
  • Provide support and training on protocols and procedures to staff requesting contracts 
  • Develop, implement, and maintain new policies and processes for improvement to the contract management process, as needed
  • Manage data tracking systems related to the contract lifecycle: files in shared Google drive, contract requests ticketing system, agreement records in Salesforce, and invoices in a payment processing tool

Compliance and Liability Responsibilities:

  • Serve as liaison to communicate liability risks identified by outside legal counsel to ensure internal staff have a comprehensive understanding of contractual agreements 
  • Ensure contractual agreements, where necessary, are covered by insurance provider and communicate recommendations for additional coverage to internal staff, as needed
  • Serve as liaison between internal staff and external vendors responsible for managing state registration requirements
  • Assist with performing tasks related to managed IT support, as needed 

General Operations Responsibilities:

  • Maintain the organization's intranet, the communication channel for financial, operational, and overall organizational policies and benefits
  • Support staff by providing navigation training on suite of tools that will ensure a successful employee experience, including intranet and workplace management software

What You’ll Have

  • 2–3 years experience working in a professional setting, nonprofit experience a plus
  • Attention to detail and proactive attitude, with exceptional organizational and project management abilities
  • Ability to collaborate effectively and efficiently with teams across the organization
  • Excellent communications skills
  • Strong computer skills and experience with MS Office and Google Docs
  • Experience working with a donor database is preferred, but not required

The salary range for this role is $64,000 - $68,000 annually. The Roosevelt Institute offers excellent benefits that include 100 percent paid medical, dental, and vision for employees and 80 percent paid for dependents; life insurance; vacation; personal and sick time; paid parental leave; professional development; healthcare, dependent care, and commuter FSA; and a 403(b) retirement plan with up to 4 percent contribution.
