Job Description

The Healthcare Association of New York State (HANYS) is seeking a PAC and Membership Specialist. Reporting to the Associate Director, Member Relations, this position will coordinate and administer multiple aspects of the administrative and financial operations of HANYS’ state and federal political action committees; and contribute to the execution of projects and activities designed to achieve the goals of the Member Relations divisional workplan.

This position is required to work at least two days per week at our office in Rensselaer, NY with an option for the other days to work remotely. On occasion, additional office days may be required.

Key responsibilities include but are not limited to:

Political Action Committee (PAC)

  • Supports the operational and financial management of HANYS PAC and the Healthcare Association of NYS and Allied Associations’ federal PAC. This includes management and coordination of contribution receipts and accumulated PAC funds, disbursements, the contributor database, and campaign contribution database.  Works closely with HANYS’ Corporate Finance division to maintain checkbooks and banking records, reconcile bank statements, manage on-line contributions, and ensure proper deposits into the appropriate PAC accounts. Coordinates a joint PAC database with the American Hospital Association PAC team in Washington, DC. 
  • Participates in and contributes to the development and execution of the annual PAC fundraising campaign. This includes collection of member solicitation authorization approval forms, assistance on campaign mailings, and dissemination of recognition materials and ‘thank you’ letters. 
  • Prepares routine and strategic financial reports on contributions and disbursements for PAC and executive staff, the HANYS PAC Steering Committee, and member CEOs and PAC contacts. Maintains internal records and tracks overall fundraising, including general trends and trends for various constituencies within the membership.
  • Leads activities related to the coordination of HANYS’ participation in political campaign fundraising events. This includes the receipt and organization of event information, development of a calendar and list of fundraising events, and distribution of event information to key HANYS staff and government affairs team members. 
  • Coordinates HANYS’ efforts to comply with campaign finance and election law requirements. Prepares and files reports to the New York State Board of Elections and the Federal Election Commission for the state HANYS PAC and the Healthcare Association of NYS and Allied Associations’ Federal PAC, respectively. 


Member Relations

  • Serves as a member of the Member Relations team to coordinate and execute tasks and projects to maintain and enhance overall member engagement.
  • Responsible for key tasks within the member database as a designated and trained staff person with enhanced permissions. This includes a number of activities with the principal goal of ensuring accurate member information, such as the input and revision of individual member “C-Suite” information, organization-level data, and other relevant member-related information, and assistance with internal processes for member information cleanup. Assist with member requests to update their database profiles and account information.
  • Executes project-based tasks in the member database at the direction of the Member Information Coordinator.
  • Serve as a resource within the Member Relations division to conduct web searches on member organizations and log relevant updates within the member database


Qualifications:

  • Associate’s Degree required, Bachelor’s degree preferred. 
  • Minimum of three-to-five years of related job experience. An equivalent combination of education and experience sufficient to satisfactorily perform the duties of the job may be substituted.
  • General knowledge of state government and elections processes, including campaign finance and political action committees, preferred.
  • Proven proficiency with data entry and database systems, working knowledge of association management systems or customer relationship management systems preferred.
  • Demonstrated experience with Microsoft Office and Excel programs.
  • Excellent verbal and written communication skills, with ability to work independently and to use discretion.
