Reporting Structure:

The Volunteer and Page Director position within the External Affairs department is a crucial role responsible for organizing and managing volunteers and pages for the 2024 Republican National Convention. This individual will work closely with the External Affairs team to organize, coordinate, train, oversee, and manage volunteer and page operations before, during, and after the event. The Volunteer and Page Director will play a pivotal role in ensuring that the event runs successfully by effectively mobilizing and engaging volunteers and pages to fulfill various tasks and responsibilities.  

Job Duties:

Pre-Convention 

  • Collaborate with the Host Committee: Work closely with the Host Committee counterpart to align volunteer efforts with the overall event strategy and objectives, ensuring seamless integration of volunteer activities with the event's broader goals.
  • Coordination with COA: Meet with COA department directors to understand professional volunteer department needs for the week of and before Convention.
  • Volunteer Recruitment: Collaborate with the Host Committee team and Wisconsin State Director to develop a volunteer recruitment strategy, including outreach to community groups, online platforms, and partner organizations. This position will create engaging materials to attract potential volunteers and communicate the event’s goals and requirements.  
  • Selection & Training: Screen and select suitable professional volunteers based on their skills, experience, and availability. Conduct thorough orientation and training sessions to familiarize volunteers with the event’s objectives, roles, and safety guidelines. Work with delegation point of contact to gather page information, oversee the vetting, and coordinate trainings.
  • Scheduling & Communication: Develop a comprehensive volunteer and page schedule, ensuring that all event roles are covered adequately. Maintain regular communication with volunteers and pages to provide updates and address concerns leading up to the event.  
  • Logistics & Resources: Collaborate with the logistics team to ensure volunteers and pages have necessary resources, such as identification badges, event materials, and any required equipment. 

 Convention Week 

  • Volunteer Management: Oversee professional volunteer check-ins and ensure they are assigned to appropriate roles. Be readily available to address volunteer needs and concerns throughout the event.  
  • On-site Coordination: Work closely with different event teams to coordinate professional volunteer and page assignments and ensure they understand their tasks and responsibilities. Address any last-minute changes or issues that may arise during the event.  
  • Team Building: Foster a positive and supportive team environment among volunteers and pages, encouraging collaboration and a strong sense of purpose.  
  • Problem Solving: Act as the primary point of contact for professional volunteers and pages, addressing any challenges they encounter and providing solutions or escalating issues as necessary.  

 Post-Convention

  • After-Action Report: Prepare a comprehensive after-action report that evaluates the effectiveness of volunteerand page efforts, identifies successes and areas for improvement, and provides valuable insights for future events.  
  • Volunteer and Page Appreciation: Express gratitude to volunteers and pages for their dedication and hard work during the event through personalized thank-you messages or an appreciation event.  
  • Feedback Gathering: Collect feedback from volunteers and pages about their experience, including suggestions for enhancing the volunteer program and addressing any concerns they may have.  
  • Documentation: Ensure all volunteer and page related records, such as attendance sheets and contact information, are properly documented and stored for future reference. 

Requirements:

  • Previous experience in volunteer coordination, event management, or related fields.
  • Excellent organizational and communication skills.
  • Ability to work under pressure and adapt to dynamic event environments.
  • Strong interpersonal skills and the ability to motivate and lead diverse groups of volunteers.
  • Detail-oriented and capable of managing multiple tasks simultaneously.
  • Passion for community engagement and event planning.
