The Lenfest Scholars Foundation Operations & Systems Coordinator

The Lenfest Scholars Foundation (LSF) seeks an organized, thorough, and motivated Operations & Systems Coordinator to coordinate the operations and systems of a small (six-person), generously endowed nonprofit based in Wayne, PA. In a hybrid (part-in person, part-remote) fashion, the Operations & Systems Coordinator will work closely with LSF’s Associate Director for Operations to develop, implement, and improve administrative and operational structures that anchor the foundation’s continued growth and success.

Background

Since 2002, the Lenfest College Scholarship Program (LCSP) has helped high-achieving, lower-income rural students from our partner high schools to enroll and succeed in college. Our Scholars receive college scholarships, assistance in applying for college admission and financial aid, and advice and support throughout their college years. The program now works with 23 partner schools and supports 125 students currently in college, 50 new Scholars (high school seniors), and approximately 345 alums.

With the success of the LCSP in identifying outstanding Scholars and the Scholars’ success in gaining admission to excellent colleges, the mission of the program has broadened. This expanded mission includes more extensive advice and support through the time Scholars are in college; offering financial assistance to Scholars who obtained valuable internships they might not have been able to take because they were unpaid; counseling Scholars about pre- and post-college plans; standardized test prep; and helping partner high schools improve their service to college-bound students. The LCSP encourages older Scholars to help younger ones by creating a vibrant community of Lenfest Scholars. Scholars from every cohort are invited to the program’s annual Lenfest Community Weekend each June.

Position Overview

The Operations & Systems Coordinator will be responsible for internal aspects of the foundation’s operation, including data and records management; invoice processing and basic accounting; the administration of application and award processes; reporting and analysis for data-driven decision making; technology maintenance, integration, and troubleshooting; documentation and maintenance of policies and procedures; development and coordination of office accounts, subscriptions, supplies, and day-to-day logistics; support for program/project management; meeting scheduling and notetaking.

In addition to this position, the LSF staff includes the Executive Director, an Associate Director who focuses on assisting new Scholars with the college application process, an Associate Director who focuses on advising Scholars already in college and beyond, an Associate Director for Operations who focuses on operations management, and an Events & Communications Coordinator. As befits a small team, all staff members will be expected to be flexible and to communicate clearly about shared responsibilities and goals, while taking the lead on individually-designated tasks and reporting on their status to the team.

Qualifications

●     Bachelor’s degree

●     3-5 years of experience in operations and systems coordination, preferably in a non-profit setting

●     Strategic, analytical thinker with exceptional organization and attention to detail

●     Strong recordkeeping, data management, database, and assessment skills

●     Excellent technology skills (fluency in Microsoft Office including Excel, Google Workspace, Mailchimp, Zoom, Dropbox, Salesforce, Wix, SmarterSelect, QuickBooks, bill.com, and Calendly highly desirable)

●     Ability to work independently as well as serve as a member of a team

●     Ability to balance multiple duties and schedules

Desired Qualifications

●     Enthusiasm for integrating systems, improving processes, and collaboratively solving problems

●     Familiarity with higher education structures and processes
