Position Summary:
The Board Relations Coordinator provides administrative and logistical support for the HRC and HRC Foundation Boards. They are a part of a three-person Board Relations team, housed within the Office of the President. They must be experienced in a fast-paced Executive office with a demonstrated ability to respond quickly and with good judgment and be able to handle highly confidential and sensitive information in a professional manner. The Coordinator plays a lead role in maintaining all Board data and therefore experience with data management across multiple platforms, reporting and experience improving systems is essential. HRC hosts multiple in-person Board meetings annually. Event planning experience is essential for this role. The Coordinator will have frequent interaction with HRC board members, in a variety of situations.
This position will be based in Washington, DC and is not eligible for remote or telework status. HRC is currently operating in a hybrid model and this position will be expected to work out of the office a minimum of 2 days per week. Around board meetings and other busy seasons for the President’s office, this position may be required to work out of the office more than 2 days per week.
Position Responsibilities
- Manage the schedule for the Board Chairs, committee meetings and full Board calls. This includes reminders, attendance tracking and material preparation.
- Lead all administrative support for the Board Relations program, Deputy Chief of Staff and Vice President of Executive Communications. This includes scheduling, check requests, credit card allocations, expense reports, compilation and distribution of quarterly Board reports, and assisting in the annual budget process and monthly expense reporting.
- Ensure accuracy and timely updating of all Board related data. Responsible for all data entry, reporting and data integrity of Board information across multiple properties (membership database, website, printed magazine, email distribution lists, grant reports, etc.)
- Serve as central communicator between the Office of the President and Board Relations staff and the Board. Manage email inboxes, respond to inquiries in a timely manner, send Board meeting invitations, attend committee meetings and take minutes. Lead Board recognition efforts including birthdays and milestones.
- Assist in the planning of in-person Board meetings with specific tasks including, but not limited to, vendor logistics, event registration, attendance tracking, website updates and event platform technology. Work with the other departments within the organization to keep staff informed of board meeting planning and coordinate the roles of the various departments.
Position Qualifications:
- At least 2 years of experience working with Boards of Directors or high-level volunteers especially in an administrative capacity.
- Must have excellent communication skills, strong writing abilities, and analytical and creative skills.
- Demonstrated background in volunteer coordination and event planning. Preference for someone with experience with event and/or Board management technology and platforms.
- A strong professional ethic is required in order to deal with confidential and sensitive volunteer, steering committee, board and organizational matters.
- Demonstrated ability to work well under pressure with high-level volunteers and staff.
- Applicants must be well organized, detail oriented, and able to prioritize multiple assignments and handle tasks in a positive, timely manner in a fast-paced environment.
- Emphasis on customer service. Experience with and proven skill in the performance of administrative duties in a professional environment.
- Demonstrated computer skills; including Word, Power Point, Excel, and database programs. Cvent, Board Effect and Smartsheets knowledge are a plus.
- Flexibility with work schedule outside of standard business hours is required. This may include evening and weekend work.
- Personal interest in and commitment to LGBTQ+ rights, racial and gender justice required.
