Summary of Duties:

Situated in the heart of North America, the Province of Ontario is Canada’s economic powerhouse. It is seven times larger geographically than New York, generates nearly 40% of national GDP, and represents 40% of Canada’s population. 

 

Ontario is home to a highly-diversified economy geared towards the future, comprising the 2nd largest financial hub and one of the largest tech clusters on the continent.

 

The Government of Ontario operates a network of International Trade and Investment Offices (TIOs) in key cities and global markets around the world. The representational bureaus are co-located in Canadian diplomatic missions led by a Canadian diplomat (Head of the TIO) and a locally-engaged team.

 

Measured by quantitative results, TIOs are mandated to build commercial relations between Ontario and the host country in three ways: (1) Export promotion, (2) Foreign Direct Investment, and (3) Research and innovation partnerships.

 

The TIO in New York is focused on advancing the Province of Ontario’s interests in the Northeastern United States, which includes the states of New York, New Jersey, Connecticut, Delaware, Pennsylvania, Massachusetts, Vermont, Maine, New Hampshire, and Rhode Island.

 

The Commercial Assistant (Ontario) is a local employee of the Government of Canada but works with and reports to the Head of Program at the Ontario TIO in New York. Under the general direction of the Head of Program, the Commercial Assistant (Ontario) provides effective and diligent program and administrative support to the TIO so the team can successfully fulfill its mandate within its given territory.

 

 Some responsibilities include, but are not limited to: 

  • Providing administrative services to support the Head of Program and the office’s investment attraction activities, trade opportunities, and research and innovation partnerships within the TIO area of operation and sector responsibilities.
  • Providing information and coordination to the TIO, its headquarters in Toronto, senior management team, members of the Mission’s International Business Development Team, and other partners as required to ensure that commercial opportunities are fully explored and referred to partners in Ontario for further action.
  • Serving as a key point of contact to provide Ontario-based clients with information on opportunities and reputable local networks.
  • Providing administrative support and logistics coordination in collaboration with TIO colleagues for business events or high-level visits of the Ontario Premier/Ministers, provincial/municipal government Officials, and senior executives as required, as well as Officials and senior executives’ visits to Ontario as required.
  • Providing financial support services in collaboration with TIO colleagues related to expense claim documents, financial reporting, budget monitoring, and record keeping as required.

  • Spouses and dependents of Canada-based staff of the Canadian Missions in New York;

ESSENTIAL QUALIFICATIONS

Candidates will initially be screened against the Essential Qualifications relating to education, language* and experience.

Candidates must clearly demonstrate when applying to the position how they meet each of these essential qualifications.

*Language will be assessed further during the process. 

 

Education:

Candidates will be required to provide proof of the completion of their education.

  • A degree from an accredited university or college in business, economics or a related field; OR a combination of relevant experience of five years of education and training related to the duties and specific areas of competence required by the position.

 

Language:

  • Advanced proficiency/Fluency in English (oral and written)

 

Experience:

  • Minimum one (1) year of recent* experience in an office environment, including providing administrative support to a high-performing team; 
  • Recent* experience in event planning and execution, as well as supporting projects, initiatives, activities, and VIP visitor programs;
  • Recent* experience in financial administration, including tracking budget resources, and processing claims/invoices/payments, and the preparation of reports;
  • Experience responding to public inquiries verbally and/or in writing, conducting effective and accurate research, and preparing well-written correspondence and reports; and
  • Experience with the advanced use of Microsoft Office (e.g., Word, Excel, Outlook), research databases, and contacts/client management systems (e.g., eCRM, SharePoint, etc.).

*Recent experience is defined as within the last 5 years. 

 

RATED REQUIREMENTS

The Rated Requirements are part of the essential qualifications and are relating to knowledge, abilities and competencies. Methods of assessment for rated requirements may include, but are not limited to, a written examination, an oral interview (online pre-recorded/live or in-person), role-play, practical tests, presentations and/or psychometric assessment.

 

Knowledge:

  • General administrative and financial processes and procedures; 
  • Microsoft Office Suite, i.e., Excel, Word, PowerPoint, Outlook and other databases, and
  • Information management, both electronically and in hard copy. 

Competencies:

Abilities:

  • Assist with the organization and implementation of events within tight timelines.

 

Asset Qualifications:

Preference may be given to candidates who meet the Asset Qualifications. Where applicable, candidates must clearly demonstrate how they meet any asset qualifications. 

  • Knowledge of and interest in Canada and/or Ontario’s economic and trade interests.
  • Ability to work with contacts/client management systems.
  • Knowledge of French.

 

Operational Requirements:

  • Normal hours of work for this position are in accordance with the Locally Engaged Staff (LES) regulations of 37.50 hours per week. Preparedness to work extra hours on occasion, including evenings and weekends. 
  • The position may require some business travel within the office’s U.S. territory, as well as possible trips to Canada.
