Position Overview

Government Relations Executive Assistant

CRH is seeking a polished Government Relations Executive Assistant to support the Executive Vice President, Government Relations. The individual should be very structured in their approach to carrying out their responsibilities while also being flexible and adaptable to changing requirements and situations. This role should typically be able to be handled during business hours. However, it does require a great deal of dedication and may require work before 8am or after 5pm, primarily to handle time sensitive communications and requests. This position involves substantial coordination of schedules and collating of input across a widely dispersed leadership group. The role provides support on interactions between business units and functions with external partners and vendors, and as such requires a great aptitude for solving problems and finding solutions.

Key Responsibilities (Essential Duties and Functions)
  • Provides proactive, varied and confidential administrative support for the EVP, Government Relations
  • Manages EVP's and Government Relations calendar of events.
  • Arranges site visits to company locations.
  • Creates and manages social media posts (Twitter, LinkedIn, etc).
  • Assists the Government Relations team members with preparing PowerPoint, and Prezi presentations.
  • Manages executive calendaring and Books travel.
  • Prepares and tracks monthly expense reports.
  • Works with outside creative for annual IMPACT report.
  • Manages, segment and updates AMAT email lists.
  • Designs, creates, tests and schedules internal emails.
    • Legislative updates & news.
    • Site visits & facility tour recaps.
  • Manages PAC solicitations.
  • Manages Women's Impact Group.
  • Coordinates and manage special events.
  • Creates meeting registration form.
  • Tracks registrations and sends meeting invitations.
  • Orders and distributes gifts when applicable (snack boxes, food delivery, gift cards).
  • Manages Gov't Relations Team Meetings.
  • Prepares slide decks for meetings.
  • Organizes and confirms meeting space.
  • Secures restaurant and hotel reservations as needed.
  • Sends gifts/swag to employees when requested.
  • Keeps executive informed and follows up on all assignments in a timely, effective, and efficient manner.
  • Prepare and edit presentations, including developing content as well as collecting, collate/merge and review materials submitted by others.
  • On and off-site meeting planning - including all logistics (catering, agenda, facilities, communications).
  • On and off-site site meeting support.
  • Miscellaneous ad-hoc reporting and projects.
  • Interacts with high level executive and administrative assistants across the organization.
  • Organizes and maintains online documents, files, and records.

Qualifications

Education & Experience


  • Strong multi-tasking skills and proven ability to manage multiple projects and work well under time/other constraints.
  • 7 + years' experience working for a C-level executives organizing multiple priorities, calendars and projects.
  • Exceptional organizational skills and ability to effectively prioritize tasks and projects.
  • Ability to handle confidential information, demonstrate a high degree of autonomy and good judgment
  • Ability to be proactive and think strategically.
  • Focuses on quality in everything they do.
  • Works well under stress, can handle challenging situations and is flexible and able to switch gears comfortably.
  • Effective communication skills, written and verbal, one-on-one, as well as with small and medium size groups.
  • Must be able to receive feedback and handle constructive criticism.
  • Demonstrated experience in dealing effectively with all levels within an organization.
  • Customer focused - internal and external.
  • Takes initiative, demonstrates creative thinking in their problem solving, and is solution oriented and enjoys challenges.
  • Possesses a strong business sense and has an understanding of a large corporate structure.
  • Has worked for a company with 10,000+ employees, preferably publicly held.
  • Embodies high ethical standards and core values.
  • Maintains and projects a positive attitude.
  • Internationally and multi-culturally aware and sensitive.
  • Proficient in MS Office Suite - Excel, Word, Outlook, PowerPoint, Prezi, OneNote, Internet (Visio a plus) Social Media posting (Twitter & LinkedIn).

Work Requirements
  • May require up to 10% travel.
  • Must be 18 years in age or older.
  • Must pass pre-employment drug screen and criminal background check.
