Overview:

The Information Technology Services Directorate (ITSD) of Oak Ridge National Laboratory (ORNL) is hiring a Policy and Communications Coordinator to serve as librarian and coordinator of processes, records, and communications for the directorate! The successful candidate will coordinate the creation, review, and revision of process documents, records, and messages, and will manage deployment of messages to convey technical ideas and instructions about systems, hardware, software, networks, platforms, and other IT-related business events.

Major Duties/Responsibilities:

  • Policy Coordination
    • Work with content owners to create, review, manage, coordinate, and publish changes to IT policies, internal operating procedures (IOPs), work instructions (WIs), and knowledgebase articles (KBs).
    • Maintain ITSD records and artifacts, managing access, permissions and current status, check-in/check-out, reviews, expirations, and publication of new versions to the web portal.
    • Manage the ServiceNow Knowledgebase module for storing and controlling policies, IOPs, WIs, KBs, and fact sheets.
    • Serve as the Standards Based Management System contact for ITSD..
    • Provide information on and maintain the ITSD records schedule, location, and responsible party.


  • Communications
    • Collaborate with IT leadership, ORNL Communications, content owners, group leaders, training, and other collaborators to plan and deploy communications, communications plans, channels, and support, ensuring adherence to ORNL and the Communication Division’s standards. Ensure announcements, proposals, and other media are correct and aligned with planning.
    • Write and edit clear, concise, and effective messaging, ensuring high standards and application for communications and content. Documents can include, but are not limited to, email messages to users; process instructions and diagrams; RACI matrices; website content; reports; etc.
    • Collaboratively maintain the internal communications calendar in partnership with ORNL Communications and ITSD staff to track communications activities.
    • Create or maintain writing resources such as templates and approved messaging documents for internal teams; apply consistent formatting to controlled documents.
    • Prepare monthly, quarterly, and tri-quarterly report for lab wide distribution.

Basic Qualifications:

  • A Bachelor’s degree in Communications, Journalism, English, Public Relations, Computer Science, Business, Library Science, or a related field of study and five (5) years’ relevant experience is required. An overall combination of equivalent experience may be considered.
  • Five (5) years of experience in communications and outreach support for an IT organization, marketing or public relations firm, or similar entity.
  • Experience with Office365 and Adobe products, creating communications, communication templates, and other communication materials.


Preferred Qualifications:

  • An advanced degree in Communications, Journalism, English, Public Relations, Computer Science, Business, Library Science, or a related field of study and four (4) years’ relevant experience is required.
  • Experience or familiarity with the Microsoft Writing Style Guide.
  • ServiceNow, SharePoint, html and/or content management software experience.
  • Strong technical reading, editing, and writing skills.
  • Ability to manage communications projects from concept to completion.
  • Ability to prioritize and meet deadlines.
  • Solid facilitation and presentation skills.
  • Creatively solve problems through collaboration.

This position requires the ability to obtain and maintain a clearance from the Department of Energy. As such, this position is a Workplace Substance Abuse (WSAP) testing designated position. WSAP positions require passing a pre-placement drug test and participation in an ongoing random drug testing program.
