ASSISTANT TO THE MAYOR

Full Time, Non-Exempt

Starting Range: $59,000 - $65,000


Summary of Job

Department and Position Summary: Working with the Common Council, the community and City staff, the Office of the Mayor’s responsibility is to improve and move the community forward by making efforts to attract and grow business, support economic development efforts, work closely with the public, and participate in community activities as a representative of the City. This position is responsible for the administrative support and coordination for the Office of the Mayor. Responding to all inquiries for the office, which include both written and verbal communications. It is also responsible for It is imperative job duties are performed with respect, integrity, objectivity and in the best interest of the City. This position requires a high level of confidentiality. All City employees are expected to be honest and truthful at all times.


Responsibilities

  1. Assist citizen needs for both walk-in customers and phone calls.
  2. Answer routine correspondence through written or oral responses. 
  3. Compose letters, memoranda and other correspondence.
  4. Must be familiar with or capable of understanding city ordinances.
  5. Obtains, analyzes, and assembles information for special projects and does research as required.
  6. Composes letters, memos, proclamations, and other correspondence from general instructions. Drafts and writes communications.
  7. Assists with the development and maintenance of standard operating procedures for the Office of the Mayor.
  8. Assist with organizing special departmental events (i.e., parades, concerts, foreign visitor programs, dinners, parties, etc.) and attends/supports the Mayor as assigned/requested.
  9. Coordinates and develops special projects and initiatives and is responsible for follow through.
  10. Gathers background information for speeches and public appearances and drafts speeches as requested.
  11. Is responsible for maintaining the department budget and assisting in the preparation of the yearly budget.
  12. Plans, schedules, and coordinates meetings, maintains a department calendar, agendas, appointments, and travel.
  13. Serves as secretary and treasurer of the Mayor’s International Committee and takes and transcribes minutes at meetings as needed.
  14. Helps manage constituent case work.
  15. Prepares and distributes the monthly public newsletter and quarterly employee newsletter in timely manner.
  16. Coordinates workload for interns. 


Education & Experience

  • Associate’s Degree in Communications, Political Science, Public Relations, Marketing or related field required.
  • At least three years of experience in communications, public relations, community relations or an equivalent combination of experience and training required.
  • At least three years of current professional experience in an office setting.
  • Valid Driver’s License required and minimum limits for insurance as required by the State of WI.


Qualifications & Skills

  • Advanced knowledge and demonstrated experience utilizing various communications platforms, including Microsoft Office, Adobe Creative Suite, Canva, website development, social media management, or other related software.
  • Advanced knowledge of graphic design principles and practices
  • Advanced knowledge of office methods and practices.
  • Positive attitude.

  • Ability to learn laws, ordinances, and regulations with respect to functions performed.
  • General proficiency in English, spelling, typing, business math, clerical accuracy, etc.
  • Ability to research, gather, and analyze information and make accurate reports.
  • Ability to exercise good judgment, courtesy, and tact in maintaining effective working and public relationships.
  • Ability to work cooperatively and communicate effectively in written and verbal form.
  • Ability to prepare and maintain accurate and complete reports and records and to prepare and present reports and make presentations as needed or required.
  • Excellent knowledge of graphic design principles and practices.
  • Ability to act, make decisions, and justify action based on good judgment.
