Responsibilities
The Executive Search and Transition Specialist performs both consulting project support and administrative coordination that contribute to the success of TSNE’s Executive Search and Transition (EST) work. This position plays a pivotal role in supporting the operations, administrative functions, client and candidate experience, consultant relationships, and project management needs of the work. This position reports to the Manager and Senior Consultant of Executive Search and Transition, works across all EST projects and supports all Executive Search and Transition Consultants.
The Specialist serves as the central point of contact for consultants, clients, and candidates, and is responsible for scheduling and logistical planning, information management, research and analytics, production of client deliverables, and maintaining rigorous organization and ownership of projects. The Specialist supports the search team with institutional research, candidate identification and review, and search-related due diligence and ensures the seamless flow of administrative and operational support, including scheduling and coordination of meetings, tracking and responding of email correspondence, execution of contracts, identification of resources and vendors, maintaining databases, payment of invoices, and various project and task management.
This position is an integral part of the executive search and transition team. The position also interfaces with a larger department team in the consulting and training department, providing occasional support as needed to the entire department, and across TSNE business functions. This position will have high touch points with clients, consultants, candidates, and vendors.
Direct Client and Consulting Support – 45%
- Support a smooth customer service-oriented experience for EST clients and consultants; as requested, act as liaison with client organizations, executive search candidates and consultants, ensuring timely written and verbal responses to requests for information, in coordination with internal consulting team.
- Work with internal and external consulting staff to communicate and address client needs and ensure delivery of high quality and timely search support on consulting engagements and special consulting projects.
- Post client position descriptions on job board websites and listservs; track posting progress and provide updates and status reports to consultants; submit posting invoices for expense approval workflows.
- Support on research and analytics for compensation studies, industry mapping, name generation, status reports, scopes, and pitch materials.
- Conduct compensation study analysis and compile reports for leadership positions.
- Build and disseminate client stakeholder surveys with guidance from consultants; collect data produced from surveys, focus groups and interviews in preparation for team analysis and create development of leadership needs assessment reports.
- Under the direction of executive search and transition consultants, attend stakeholder interviews and participate in focus groups, as needed.
- As needed, assist in the development of scopes of work, or proposals, for consulting clients, consultants, and vendors and support on EST client intake and scoping calls.
- Support the development of Executive Search and Transition practices; assist consultants with periodic client check-ins.
- Administer vendor background checks to candidates in coordination with EST team.
- Serve as a supporting thought partner to consultants around client engagements, meeting design and other aspects of the EST team’s work.
- Collaborate with operational support teams (communications, IT, HR) to develop and update EST program materials and promote program and project information and maintain webpage placement listings; updating Consultant Toolkit; etc.
- Conduct ongoing research and analysis to determine the sector’s transition and search needs; provide research and identify information- frameworks, books, articles, and more-to contribute to a resource library.
Operations and Administrative Support – 45%
- Manage and problem solve operations and administrative challenges related to clients, consultants, candidates, consulting services, and vendors; provide logistical support related to team meetings, client engagements, and special projects.
- Communicate and serve as primary contact around logistics and administrative needs to clients, consultants, and candidates.
- Manage and provide scheduling, coordination and communication for client, candidate and stakeholder meetings; take notes during meetings, provide minutes as needed.
- Ensure that client and consulting data is gathered, inputted, and updated in a timely manner into TSNE’s Salesforce CRM and iCIMS Applicant Tracking System (ATS) in collaboration with TSNE’s client engagement team and consultants; triage/problem solve iCIMS technical issues with clients/candidates and TSNE HR and IT.
- Manage and problem solve technical needs for executive search and transition trainings, workshops and client meetings as needed; create virtual meeting invites, monitor chats, mange breakout rooms, ensure availability of proper sound and presentation equipment needs.
- Support the development, editing, and/or finalizing client memos, surveys, reports, presentations and other client and consulting practice materials.
- Manage and monitor consultant and vendor information invoices, contracts, payment information; create, submit, and manage contract requests and amendments.
- Submit invoices for payment ensuring accurate application of funding source and accurate payments in coordination with the accounting department.
- Manage and organize physical and digital EST consulting materials, files, folders, etc.
- Provide on-site (in person and virtual) registration, administration, and logistical support for EST trainings and workshops.
- Capture and maintain accurate market, client and candidate information in TSNE CRM and ATS platforms (Salesforce, iCIMS) to both drive the search process and assist with business development opportunities.
Cross-Departmental Support – 10%
- Work cross-departmentally to support client, consulting, and program services as needed.
- Collaborate with other program staff, external trainers and consultants to ensure successful delivery and evaluation of all programs and consulting services.
- Provide occasional general overall administrative, programming, consulting and client support for the consulting and training department.
Complete other tasks and projects related to the position, as needed.

- Minimum three years of operations and administrative experience.
- Minimum three years of experience in executive search and transition, recruiting, and/or consulting management preferred.
- Experience working with nonprofit organizations and associated internal/external constituents.
- Excellent interpersonal, operational, and administrative skills; ability to juggle multiple tasks and priorities to meet deadlines; exceptional organizational skills.
- Highly detail-oriented with the capacity to multi-task, shift gears and be flexible as necessary.
- Strong written and verbal communication skills; comfort across mediums – email, video, text, phone, etc.
- Advanced computer literacy skills, including Microsoft Outlook, MS Office Suite, Microsoft Teams, Google Suite, Zoom, survey platforms, CRM databases such as Salesforce, and Applicant Tracking Systems (ATS); able to easily learn new systems.
- Experience processing payments and reimbursements preferred.
- Proven ability to handle sensitive and confidential information.
- Ability to demonstrate professionalism, good humor and patience, and to manage stress.
- Enjoys working in a dynamic, fast-paced environment as a part of a growing, high-performing team; comfort with organizational change and transition.

Physical Demands/Work Environment
The physical demands described for this position are that of a typical office environment. Reasonable accommodations will be made to enable individuals with disabilities to perform the functions. Ability to sit and/or stand for extended periods of time in front of a computer screen is an essential aspect of the position. There may be a need to lift and/or move materials or equipment.
Location: Work will be performed between our office located at the NonProfit Center at 89 South Street, Suite 700, Boston, MA 02111 and your home office. This position will require you to be on-site for in-person client engagements and some meetings with TSNE staff, funders, and program participants, which may take place outside of the TSNE office and may require to be on-site more regularly with advanced notice.
Schedule: This position is full-time at 37.5 hours per week and hours are flexible within reason.
Compensation and Benefits
Compensation: The salary range for this position is $60,000-$66,800 and is commensurate with experience.
