Job Description
Williams & Jensen, PLLC, a bipartisan law and lobbying firm, is seeking an experienced, highly qualified Executive Assistant to support the firm’s CEO. This highly visible role requires someone capable of balancing multiple projects simultaneously and appropriately handling sensitive, confidential information with the utmost discretion.
Successful candidates will be able to anticipate the needs of a busy executive and take the initiative to solve problems thoughtfully and independently. This position is ideal for a self-starter who is proactive, able to prioritize effectively, collaborate with others and work well under tight deadlines.
Key Responsibilities:
- Support CEO by independently performing a wide range of complex and routine administrative tasks, including scheduling appointments and meetings, organizing local and domestic travel, preparing presentation materials, drafting communications, maintaining distribution lists, compiling reports, and processing expense reports
- Work with the Chief of Staff in managing and prioritizing CEO’s daily workload by identifying emerging issues, determining time-sensitive matters, gathering and synthesizing relevant information, and tracking the status and progress of key projects
- Exercise discretion and judgment in managing executive calendars and appointments to ensure effective and strategic use of the CEO’s time
- Organize internal and external meetings and events: schedule and manage logistics for meetings, offsite events, fundraisers, and other activities
- Assist lobbying expense reporting and political contribution tracking
- Maintain confidentiality of sensitive information and exercise discretion in all interactions and data hand
- Execute special projects and perform other multi-faceted responsibilities as assigned by the CEO or Chief of Staff
Qualifications and Skills:
- Highly organized and detail-oriented with the ability to prioritize complex tasks, manage multiple projects simultaneously, and meet tight deadlines while maintaining accuracy in fast-paced environment
- At least one year of executive assistance or project management experience; a background working on Capitol Hill or in government relations preferred
- Strong oral and written communication skills with a clear, concise style
- High level of professionalism and discretion
- Proficient in Microsoft Office, including Excel, Outlook, and Word
