Position Overview:

We are seeking a highly organized and proactive Executive coordinator to provide comprehensive administrative support to the Executive Director while engaged in policy development, advocacy initiatives, and capital campaigns. The successful candidate will play a critical role in ensuring the seamless operation of our organization's leadership, enabling them to focus on driving impactful change in the realms of policy, advocacy, and fundraising.

Key Responsibilities:

  • Administrative Support:
  • Manage the executive's calendar, schedule appointments, and coordinate meetings, ensuring optimal time management and efficiency.
  • Prepare and organize documents, presentations, and reports for internal and external distribution.
  • Handle travel arrangements, accommodations, and other logistical details for executive team members.
  • Communication and Correspondence:
  • Manage executive communication, including emails, phone calls, and written correspondence.
  • Draft and edit documents, speeches, and communications on behalf of the executive.
  • Ensure timely and professional responses to inquiries and requests. Nonprofit Functions:
  • Uphold the mission, values, and ethical standards of the organization, demonstrating a commitment to social justice, equity, and inclusivity in all aspects of project work.
  • Ensure compliance with relevant nonprofit regulations and reporting requirements, maintaining transparency and accountability in project activities and financial management.

Project Oversight and Coordination:

  • Oversee the entire lifecycle of special projects from conception to completion, ensuring adherence to timelines, budgets, and organizational objectives.
  • Develop comprehensive project plans outlining tasks, timelines, and resource allocation, and regularly monitor progress to identify potential bottlenecks or deviations.
  • Serve as the primary point of contact for project stakeholders, providing regular updates, addressing concerns, and soliciting feedback to ensure alignment with expectations.

Policy and Advocacy Support:

  • Assist in the research and compilation of information related to policy issues and advocacy initiatives.
  • Monitor legislative developments, draft summaries, and prepare briefs to keep the executive team informed and prepared for engagements.
  • Coordinate meetings with stakeholders, policymakers, and advocacy groups.

Qualifications:

  • Bachelor's degree in a relevant field or equivalent experience.
  • Proven experience as an executive coordinator or in a similar administrative role.
  • Strong organizational skills with a keen attention to detail.
  • Excellent written and verbal communication skills.
  • Familiarity with policy issues, advocacy strategies, and capital campaigns is a plus.
  • Proficiency in office software (e.g., Asana, Google Workspace).
  • Ability to handle sensitive information with confidentiality and discretion.

Job Types: Full-time, Temporary

Pay: $29.00 - $34.00 per hour

Expected hours: 40 per week
