Job Description
The Coalition for Peace Action (CFPA), a grass-roots citizens group working in central and southern New Jersey and Pennsylvania, seeks a part-time (25 hours/week) Executive Assistant to work out of its Princeton headquarters. Applicants must possess strong organizational and multi-tasking skills, attention to detail, and logistical planning for events. The Executive Assistant works closely with the Executive Director and Steering Committee (Board of Directors) to oversee and implement programs advancing the global abolition of nuclear weapons and related peace priorities such as diplomacy, gun violence prevention, climate, and democracy.
Primary Responsibilities
- Work with the Executive Director, and the Peace Education and Advocacy Committees to plan and implement the annual Conference and Multifaith Service for Peace; plus other educational forums in various community settings or online; and to set up Advocacy e-alerts and lobby appointments.
- Update CFPA’s main web site, assist with E-alerts to listservs of CFPA supporters; and implement social media for CFPA and its projects, such as Ceasefire NJ, to foster synergistic communication across all media platforms.
- Oversee the volunteer staffing of events (for registration, meals, set-up, clean up, etc.) and the mailing of newsletters, fundraising appeals, etc.
- Design and publish newsletters, fact sheets, and other literature, both hard copy and online.
- Oversee maintenance of database of members and supporters.
- Make phone calls to follow up on emailed and postal mailed appeals and renewal letters for annual dues of CFPA members. Oversee interns and volunteers may also assist with this task.
- Work independently as primary staff during vacations and/or absences of the executive director.
Technical Competence and Experience
- Basic computer competency, including Microsoft Office suite
- Scheduling and/or hosting meetings and webinars on Zoom
- Familiarity with Joomla, Content Management System (CMS) for websites, or ability to learn quickly
- Familiarity with EveryAction or other Customer Relationship Management (CRM) programs
- Posting to social media: Facebook, Instagram, YouTube
- Designing flyers, newsletters on Canva or other platforms
- Using Quickbooks Pro to enter deposits and issue checks, reconcile banks statements, and generate financial reports as needed
General Responsibilities
Consult regularly with the Executive Director and Board leadership to support major events and initiatives. Work closely with Executive Director to follow up and help implement major projects, e.g., annual membership dinner. Help answer phones, open mail, and respond to inquiries. Occasional check-processing and light bookkeeping. Be somewhat flexible with hours (including comp time and occasionally working from home). Must participate in some evening and weekend meetings and events.
