Description of Job
Summary of Functions: The primary responsibility of the Deputy Scheduler is to provide direct support to the Director of Scheduling in the Governor’s office, including organizing and responding to requests, preparing briefing memos and liaising with the Governor’s Executive Assistant. This role also provides support to the First Gentleman, including communication and scheduling support, and research in order to help him be successful in all endeavors.
Essential Duties and Responsibilities:
Work with the Director of Scheduling to manage and maintain all scheduling requests for the Governor
Handle all logistics and serve as the main point of contact for any events the First Gentleman is planning at the Mansion, their personal residence, or other venues, as necessary
Coordinate complex and changing scheduling needs to include meetings, travel and other events/schedules as needed
Participate in weekly scheduling meetings
Compile weekly matrix of proposed meetings, edit, finalize and send daily schedules, and update when changes are made
Handle matters proactively and expeditiously; anticipate needs and follow through or projects to successful completion.
Provide general administrative support to the Director of Scheduling as needed.
Provide support of the First Gentleman’s mission in the form of:
Coordination with other state agencies
Research
Scheduling, logistics and administrative support
Maintain and manage the First Gentleman’s schedule, facilitate all scheduling requests
Prepare briefing memos for the First Gentleman
Organizational Relationships: This position reports to the Deputy Chief of Staff and is part of the Governor’s support staff team. This position does not have any supervisory responsibility.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
High School diploma, or equivalent, required. College degree a plus, but not required. One or more years of administrative support experience to include working with complex schedules; experience working with executive level staff; strong written and verbal communication skills; exceptional customer service skills; ability to maintain a high level of confidentiality; and intermediate to advanced computer skills required. The ability to organize and manage multiple priorities and the flexibility to creatively adapt to ever-changing circumstances and events is a must. Knowledge of Salesforce or similar software preferred.
