Job Duties

The Policy Coordinator has the responsibility to evaluate, monitor, and coordinate compliance with performance standards, both internal and external (as set by DBHDS, The Joint Commission, etc.) and advise on areas of non-compliance. This position will ensure that data used to determine hospital compliance is monitored and reported accurately and efficiently. This position will ensure hospital policies are up-to-date and consistent with regulatory and legislative requirements.

Job Duties:
  • Maintain multiple spreadsheets and engage in 100% reporting of tracked data points, ensuring accurate reporting to multiple agencies and systems.
  • Daily-Receive and enter all Incident Reports into the Patient Incident Tracking System and CHRIS.
  • Scan daily hospital activity report (AOD Report) to track and report aggressive incidents and other reportable events.
  • Accurately enter Seclusion and Restraint data daily and PAIRS reportable incidents.
  • Create and submit monthly reports to dLCV and generate other reports as needed.
  • Run reports related to tracked data in the Electronic Health Record.
  • Identify and correct any errors in reported events.
  • Manage the hospital’s policy program; coordinate with the responsible staff for policy development; ensure internal consistency between policies.
  • Ensure that only the most current versions of forms are available by monitoring attachment links in the Portal or electronic policy system.
  • Assure that hospital forms and policies are properly formatted and connected.
  • In a systematic manner, maintains the Master collection of all current and previous hospital Policies and official forms and maintains a database of policy review dates and revisions, reviewers, etc.
  • Maintains a working knowledge of policy/procedure content in order to serve as a resource person to management, staff, and committees.
  • Ensure that policies are posted on the facility intranet site and are consistent with the current version.
  • Prepares policy updates to keep all staff aware of changes in policy and/or new policy.
  • Assist with performance improvement plans, revises and submits data and reports as required.
  • Ensure staff understands the quality improvement process.
  • Provides a wide variety to support to the QRM department and Chief.
  • Demonstrates the ability to multitask and the ability to move back and forth between several different projects.
  • May serve as the QRM representative on hospital committees.
  • Provides administrative support to the QRM department.
  • Provides back up coverage for other department members as needed.
  • May be required to perform other duties as assigned.


Minimum Qualifications

  • Working knowledge of agency and state policies and procedures;
  • Knowledge of TJC standards;
  • Understanding of health care quality assurance, performance improvement, and risk management practices;
  • Ability to communicate effectively with all levels of staff and the general public, both verbally and in writing;
  • Considerable experience with computer software, including ability to create and use spreadsheets in an advanced manner (e.g. use of formulas, pivot tables);
  • Ability to create visual representations of data, and desktop publishing.

Additional Considerations

  • Experience within Quality Assurance, Risk Management, Health Informatics, Medical Records, or similar.
  • Experience with auditing or other performance monitoring, particularly as related to TJC standards and regulations.
  • Experience with navigating electronic health records and data entry.
  • College degree in business, hospital administration, or other human services field is valued.
