Position Overview
This position will provide administrative and operations support to the Democracy Protection Network (DPN), a coordinated network of experts who have come together to support organizations and individuals that come under threat while working to protect and strengthen American democracy. The DPN connects eligible applicants with low- to no-cost crisis-response and resilience-building services — including physical security, cybersecurity, crisis communications, and legal services.
The Operations Associate will report to the DPN Director. Top candidates will be detail- oriented, skilled at writing and research, and able to juggle multiple assignments simultaneously in a fast-paced, remote environment.
Essential Duties and Responsibilities (include, but are not limited to):
Project Administration Support
- Oversee daily administrative tasks related to managing schedules, conducting meetings, and preparing related documents.
- Draft meeting agendas and capture detailed meeting minutes that identify actionable next steps.
- Assist in maintaining project timelines and key deliverables related to network goals.
- Provide logistical support for events to ensure smooth execution and timely follow-up.
Research & Knowledge Management
- Conduct informational research on stakeholders and partners, and create and maintain databases to support decision-making and relationship building.
- Draft and maintain reports and proposals to communicate the network’s progress and outcomes.
- Prepare draft meeting materials, including presentation decks and reports, to support effective decision-making and stakeholder engagement."
Compliance & Operational Support
- Support workflows for vendor contracts and philanthropic grants, including financial tracking and grant reporting.
- Support process implementation, monitoring adherence to stated policies, and accompanying training needs.
- Contribute to data tracking, maintenance, and reporting needs.
Organizational Stewardship
- Tend to internal administrative items (e.g., emails/slack, timekeeping, expenses, HR).
- Participate in internal activities (e.g., full team meetings, peer learning communities, culture-building activities, and regular check-ins with your supervisor).
- Engage in individual and team-wide professional development/learning opportunities.
What You’ll Need
- 3-5 years of professional experience.
- Strong project management and communication skills.
- Interest in working to protect and strengthen American democracy.
- Attention to detail and the ability to be self-directed and manage many moving parts in a remote environment.
- Comfort using tools like Google Workspace, Microsoft Office Suite, and project management software (e.g., Asana, Trello) to organize tasks and maintain efficient workflows.
- Ability to engage in moderate travel for project work and team retreats (2-4 trips per year lasting several days each).
