The Washington Area Villages Exchange (WAVE) is a regional nonprofit organization that convenes, engages, and advances nonprofit Villages in the greater Washington, DC region. WAVE supports developing and established Villages through educational programming, networking opportunities, mentoring, conferences, and shared resources that strengthen the Village movement and help older adults thrive in their homes and communities as they age. Encompassing Villages in Maryland, Virginia, West Virginia, and Washington, DC, WAVE is the largest regional Village organization in the nation.

WAVE is seeking a consultant to support WAVE’s Board and administration.

The scope of work includes:

* Administration, innovation, and leadership at pivotal period of organizational growth.
* Flexible, largely remote, work in collaboration with WAVE leadership.
* An active and engaged Board of Directors, comprised of knowledgeable professionals.
* Position available on or before June 1, 2026—interviews scheduled on a rolling basis.
* Transition support from the departing Administrative Manager.


The starting rate for this contract position is $30-$35/hr, with the potential for an adjustment based on review in January of 2027.

Contract Position Title

Administrative Manager (Contract)

Contract Status

Part-Time Independent Contractor (up to 25 hours per week) The starting rate for this contract position is $30-$35/hr, with the potential for an adjustment based on review in January of 2027.

Contract Position Summary / Purpose

The contract position of Administrative Manager provides operational, programmatic, and communications support to WAVE and serves as a key administrative partner to the Board of Directors and committees. This contract position helps ensure the smooth coordination of WAVE programs, conference activities, membership administration, communications, website management, and organizational systems. The contract position of Administrative Manager plays an important role in supporting WAVE’s mission to strengthen and promote Villages throughout the region by coordinating educational programming, supporting member engagement, maintaining organizational infrastructure, and assisting with grants and reporting activities.

Essential Duties & Responsibilities

1. Organizational Administration & Systems

  • Maintain organizational records, files, and shared resources within Google Drive and other designated platforms.
  • Serve as WAVE’s Google Workspace administrator and support organizational technology needs.
  • Support Board and committee administrative processes, including maintaining documentation and coordinating materials.
  • Assist with maintaining operational procedures and organizational systems.

2. Programs & Educational Events

  • Coordinate WAVE’s annual programming calendar in collaboration with the Board and Program Committee.
  • Support planning and implementation of virtual and in-person educational programs, workshops, and networking events.
  • Coordinate presenter communications, logistics, scheduling, and technical support for virtual sessions.
  • Post program recordings and materials to the WAVE website.
  • Track program participation and compile registration and evaluation data.
  • Collect participant feedback and prepare summary reports for Board review.
  • Support administration of WAVE awards and recognition programs, including application coordination and communications.

3. Conference Planning & Event Coordination

  • Support planning and execution of the annual WAVE conference and related events.
  • Coordinate logistics including registrations, vendor and sponsor communications, materials preparation, and on-site event management.
  • Assist with sponsor and partner coordination in collaboration with Board members.
  • Compile attendee and sponsor feedback and prepare post-event reports.

4. Membership and Database Administration

  • Coordinate membership renewals and maintain membership records.
  • Assist members with updating contact and organizational information.
  • Conduct periodic membership database review and cleanup activities.

5. Communications & Website Management

  • Draft, design, and distribute email communications, newsletters, announcements, and promotional materials.
  • Maintain and update the WAVE website, including posting program information and resources.
  • Coordinate updates to regional Village listings and related website content.
  • Support communications planning for programs, events, and organizational initiatives.

6. Grant Support & Reporting

  • Assist with preparation and submission of grant applications and supporting materials.
  • Support grant tracking, documentation, and reporting requirements.
  • Compile organizational and program data for reports and funder communications.

Preferred Qualifications

  • Experience in nonprofit administration, program coordination, event planning, communications, or related fields.
  • Strong organizational and project management skills with the ability to manage multiple priorities independently.
  • Excellent written and verbal communication skills.
  • Experience supporting virtual meetings and online programs using Zoom or similar platforms.
  • Proficiency with Google Workspace, spreadsheets, databases, and website content management systems.
  • Experience with membership management, event registration systems, or nonprofit CRM platforms preferred.
  • Ability to work collaboratively with volunteers, nonprofit leaders, and community stakeholders.
  • Interest in aging-in-place initiatives, community engagement, volunteer-driven organizations, or older adult services preferred.

Reporting Structure

  • Reports to: WAVE Board of Directors (or designated Board Officer/Executive Committee representative)
  • Works closely with: Program Committee, Conference Committee, Board members, presenters, sponsors, member Villages, and external partners

Work Environment & Schedule

  • Part-time contract position of up to 25 hours per week.
  • Primarily remote, with occasional in-person attendance required for conferences, meetings, or special events.
  • Schedule may vary based on program and conference timelines.
