Description
Assist a staff office director by providing a variety of administrative services and be responsible for the preparation of data files and certain aspects of USPS postal paperwork for mailings prepared by the Legislative Publications Office.
Essential Duties & Responsibilities
Examples of Administrative Duties:
- Generate production work order via a web-based system and route appropriately.
- Accurately maintain production database tracking of all non-mail requests received by LPO.
- Work with department managers to order and maintain accurate consumables inventory.
- Answer telephone courteously, take accurate messages and/or refer calls to relevant person.
- Greet visitors, determine nature of business, announce visitors to appropriate personnel.
- Perform other clerical duties as needed, such as faxing, filing, photocopying, collating, etc.
Examples of Data Duties:
- Utilize additional USPS approved software to accurately finalize preliminary lists upon approval.
- Use USPS approved software to generate hardcopy and electronic postage statement / reports.
- Submit electronic postal paperwork to the USPS.
- Stay current on USPS and software updates to ensure postal regulation compliance.
- Exercise strong knowledge of all MS Office applications with emphasis on Excel and Word.
- Log mail count information in internal database.
Minimum Qualifications
- High school diploma or GED; plus a certificate/degree in office/clerical skill from a college or business/technical school; or six months related experience and/or training; or equivalent combination of education and experience.
- Ability to read, analyze, interpret and compose general business correspondence.
- Assist with bulk mail addressing operations when necessary.
- Perform any other work-related duties as assigned.
- Work occasional extended evening and weekend hours as needed.

- Data training will be provided.
- May entail handling confidential correspondence.
- Understands the important nature of achieving assigned objectives and meeting commitments made by the Legislative Publications Office.
- Ability to troubleshoot software and hardware issues according to provided guidelines.
- Ability to occasionally lift and / or move up to 10 pounds.
- Noise level in the work environment is usually quiet to moderate.
- Employee is occasionally exposed to moving mechanical parts of office equipment.
